Job Description
We are a local Investment and Financial Planning firm looking to add another motivated team member to our busy growing firm. This individual will be a dedicated Client Service Specialist / Administrative Assistant who will be the main point (phone, email, and in-person) for our client contact. Duties and Responsibilities (include but are not limited to):
- Answer incoming calls; Determine caller needs, and route calls to appropriate person
- Greet visitors, contact appropriate staff members for appointments and schedule meetings as needed
- Perform clerical and administrative duties
- Typing in correspondence and meeting notes
- Filing documents and maintaining client files
- Copying and scanning in documents
- Entering information into database
- Sending and opening mail
- Preparing, processing and following up on paperwork
- Prepare meeting documentation and print reports as needed
- Check forms for completeness and contact clients for necessary required information
- Calling clients to schedule appointments and confirm appointments
- Perform various miscellaneous tasks as assigned
Qualifications:
- 3 years of administrative / clerical duties
- Ability to operate a multi-line phone system
- Ability to create a positive work environment
- Ability to effectively function as a team player
- Ability to organize, prioritize and handle multiple tasks
- Ability to work required hours
- Ability to work under pressure and meet deadlines
- Ability to work on a regular basis
- Skill in effective verbal and written communication
- Skill in operating various office equipment including personal computer, fax machine, copier, etc.
- Skill in utilizing various software packages including Microsoft Office and database applications.
- Some college education preferred but not required
Job Type: Full-time
Salary: $19.00 - $25.00 depending on experience
