Job Summary:
The client Service Representative will be responsible for providing a range of routine Client Services and support to patron. The CSR will be responsible for making quotes, processing orders, ensuring timely order fulfillment, and providing tracking information to the client.
Nature of Work:
This position typically reports to the Operations Manager. The CSR will be in touch with the sales representatives and will assist them with creating quotes to be submitted to the clients. And convert them to orders as and when required. CSR is responsible for interacting with the client to provide information regarding specific orders. Coordinate and communicate with the company’s internal departments.
Duties and Responsibilities:
- Understand the products in detail and the part codes.
- Manage client accounts, including setting up new accounts.
- Assisting sales representatives in putting quotes into the system to be submitted to the client.
- Ensure the product quoted accurately meets the client's requirements.
- Convert sales quotes to orders upon receiving a purchase order from the client.
- Cross-check the purchase order and sales order to avoid any discrepancy of the products.
- Inform the operations manager of anything that needs to be back ordered to fulfill and order.
- Daily follow-up with the warehouse team for the fulfillment of orders.
- Ensure tracking information and shipping BOL & invoice are attached to the sales orders.
- Send tracking information to the client and the sales rep once the order is shipped out from the warehouse.
- Send the list of fulfilled orders to the accounts team by the end of the day to make sure all orders are invoiced.
- Verify the RMA requests and further process them communicating with the warehouse and the factory.
- Maintain weekly data of total sales orders shipped- Sales order value and individual product quantity for stock replenishment.
