Class Title: CLERK III, City of Allentown, Bureau of Police
Grade Number: 08M
Department: Police
Union: SEIU
GENERAL PURPOSE
Performs a variety of clerical and office duties involved with the processing of all types of police reports, hearing notices, dispositions, filing and data entry of reports, and police personnel and payroll files.
SUPERVISION RECEIVED
Works under the supervision of the Assistant Chief of Police.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Under the direction of a police supervisor, works from department policies and procedures to accomplish the following tasks, including, but not limited to:
" Collection, sorting and processing of daily paperwork
" Uniform Crime Coding of all reports
" Accountability and control of records and processing of record requests
" Distribution and filing of records within the department
" Responding to requests for information from inner departmental sections/Insurance Companies/ Probation and Parole agencies/District Attorney's Office/and other Local, State and Federal agencies
" Collection of monies for payment of reports and balances cash drawer
" Receives telephone calls and visitors, determines nature of business and directs caller/visitor to appropriate person or bureau
" Data entry of police offense/incident reports, police investigative supplemental reports, arrest and booking reports, police accident reports, stolen/recovered property reports as well as other complaints received by the police department
" Operate CRT/PC to address and bring up appropriate records
" Type letters, memos, reports and official documents from notes, drafts, or handwritten data
" Process hearing notices and dispositions and notifies officers of hearings
" Process criminal notices, check for discrepancies and make corrections in the police computer system
" Notify police offices and District Courts of any corrections
" Tracking and updating of files for hearings and dispositions
" Reconciles, edits and verifies payroll, compensatory time, vacation balances, training, etc. and makes necessary corrections
" Processing payroll sheets on a daily basis for the police department
" Verifies accuracy of overtime sheets
" Works within the rules of three different unions for payroll/personnel purposes (FOP, SEIU and MESA)
" Maintains officers' internal information, which includes payroll, personal and social security information
" Directs, instructs, and trains lower classified or new personnel
" Reports problems to police supervisor
" Performs other duties, including those of other classifications (higher or lower) as assigned or conditions warrant
" Observes rules and practices on quality of work, personal conduct, and safe, effective and courteous service to other department and city personnel as well as the general public
" Completes assignments from police command upon request
Performs related work as may be required.
DESIRED MINIMUM QUALIFICATIONS
Education and Experience:
(A) High School graduation.
(B) Any equivalent combination of related education and experience and training which provides the required knowledge, skill and abilities.
Necessary Knowledge, Skills and Abilities:
(A) Knowledge and ability to effectively use a typewriter, calculator, computer, and other office equipment, EDEN system experience preferred.
(B) Knowledge of business English, spelling and grammar.
(C) Ability to make arithmetic computations and tabulations with speed and accuracy.
(D) Ability to understand and follow moderately complex oral, handwritten and typed instructions.
(E) Ability to establish and maintain effective working relationships with superiors, other employees and the public.
(F) Ability to express ideas and information clearly, both orally and in writing.
(G) Ability to readily absorb the knowledge of appropriate Department/City/State/Federal laws governing the release of police information.
(H) Ability to work within restrictions governing the release of sensitive, confidential, juvenile or investigative information and understand civil/criminal liability for violations.
(I) Ability to prioritize work and multitask.
(J) Ability to complete assignments within required timeframe.
