Job description

The newly created Chief of Staff role will support the Executive Director to manage programs and operations, providing leadership and oversight for Poder Latinx’s day-to-day work. This role will serve as a strategic advisor to the Senior Leadership team, bringing strategy and planning, priority-setting, systems development, staff management, and operational expertise in order to meet Poder Latinx’s goals and advance our mission. The Chief of Staff will focus both internally and externally, including staff management, program initiative oversight, organizational systems design, board engagement, and representing Poder Latinx with key external stakeholders.

The ideal candidate will be able to balance complex, time-sensitive projects and multiple internal demands within a fast-paced civic engagement organization. They must be able to thoughtfully manage confidential information, and have the ability to effectively partner across multiple teams and geographies. The Chief of Staff will be instrumental in integrating Poder Latinx’s programs towards greater impact, and will help to establish regular planning, reporting, quality control, and culture-setting efforts.

Key responsibilities

To be successful in this role, the candidate will need to facilitate timely program planning and decision-making in a campaign environment, serve as a trusted advisor to the Executive Director and senior leadership team, and help Poder Latinx build strong internal systems and sustainable organizational practices. Specific responsibilities include:

Executive leadership support

  • Support the Executive Director and Senior Leadership Team to set organizational goals and key milestones, and to track progress.
  • Help ensure the highest value use of the Executive Director’s time, working closely with the Senior Leadership team and Executive Assistant to strategically assess opportunities, travel, and external requests.
  • Shape organizational decision-making processes, ensuring that the right team members are involved at the right time.
  • Manage preparation for key external meetings, including with donors and Poder Latinx board members. This involves developing briefing notes, talking points, and follow up communications.
  • Effectively manage Department Directors, providing expert guidance to ensure sustainable, high-impact work and staff support.
  • In partnership with Poder Latinx’s communications director, help prepare the Executive Director for external communication opportunities. This may involve drafting reports, speeches and presentations. The candidate will also represent the organization on behalf of the ED, as needed.

Strategic planning and key initiatives

  • Oversee organization-wide strategic initiatives, in partnership with national leadership. This involves leading initiative development, planning, and project management.
  • Develop and manage Poder Latinx’s yearly planning and quarterly reflection process.
  • Recommend new processes and systems to streamline operations, in close collaboration with Poder Latinx’s Operations Director.
  • Help determine performance metrics and establish an effective internal reporting approach, with an eye towards identifying key opportunities and challenges.

Program management

  • Play a central role in facilitating cross-departmental coordination in partnership with the senior leadership team, towards shared goals, supporting the overall management of programs, quality control, and decision-making.
  • Help design and manage communication flows across the organization, keeping the Executive Director informed of all pressing items.
  • Play a leadership role in shaping Poder Latinx’s overall culture, working across diverse states and teams towards shared goals.
  • Oversee day-to-day business functions at the organization, in collaboration with Senior Leadership.
  • Work with HR to support managers in their staff development responsibilities.
  • Ensure clear policies and procedures, and oversee consistent implementation. This includes shaping and implementing Poder Latinx’s financial, legal, and operational compliance policies.

Stakeholder engagement

  • In partnership with the SLT, manage Poder Latinx board engagement, which includes establishing a board meeting calendar, designing the agenda, and managing material development.
  • Provide support to the Executive Director in Poder Latinx’s partnership development work. This involves participating in conferences and building relationships with key stakeholders, as requested.

Qualifications

  • At least 5 years experience managing national teams.
  • Demonstrated experience designing systems and/or managing operations across multiple geographies.
  • Ability to facilitate strategic decision-making, priority-setting and planning in a dynamic campaign environment.
  • Ability to provide oversight, effective communications, and impactful operations across a large-scale operation (6 states, with multiple field teams).
  • Ability to inspire action at all levels of an organization, and successfully manage periods of ambiguity towards collective impact.
  • Knowledge of key stakeholder groups, including labor, media, and civic engagement tables. Experience establishing impactful partnerships with these groups strongly preferred.
  • Experience with program design and managing complex projects.
  • Experience coaching managers to support a collaborative, effective work environment.
  • Excellent written and verbal communication skills.
  • Ability to exercise sound judgment to manage sensitive and confidential matters.
  • Strong understanding of and commitment to Poder Latinx’s vision and mission.

Preferred Qualifications

  • Experience working across multiple entity types (501c3, 501c4, PAC).
  • Experience with the nonprofit fiscal sponsorship model.

Bilingual English/Spanish (written and oral) skills are necessary.
