Job Description

The Chief of Staff role provides comprehensive support to the organization and the CEO. This position requires a proactive, strategic thinker that can anticipate needs, manage projects as necessary, and partner with key departments and individuals within the organization and outside of the organization, to further the overall mission. This position also mentors and supervises reception staff. Responsibilities include but are not limited to: Serving as the board liaison and facilitating the preparation and execution of Board and Committee meetings; supporting written and verbal correspondence with community partners; supervising and coaching reception staff; Managing, supporting, or leading special projects, as necessary; and other duties as assigned. This position will also do community outreach on behalf of the CEO when needed.

Duties/Responsibilities:

• Serve as Board Liaison & facilitate preparation for all Board & Board committee meetings. Including preparing board meeting packets, managing tech needs, setup of board meetings, taking meeting minutes, and disseminating information to the Board as necessary.

• Support the management of meeting calendars and requests for the CEO through a variety of mediums including scheduling and confirming appointments.

• Support written or verbal correspondence with community partners, including, but not limited to reading, researching, and routing correspondence; drafting letters and documents; and collecting and analyzing information.

• Creates presentations (Power Point) and videos as needed.

• Manage the Community Group relationships that utilize Center on Halsted facilities (including supporting Cottage Grove).

• Develop and manage key stakeholder relationships that further the mission of Center on Halsted.

• Welcomes/greets guests, in person or on the telephone; answering or directing inquiries.

• Maintains confidentiality.

• Completes projects, assigning and following up on work given to staff or volunteers.

• Maintains office supplies for leadership; anticipates supplies needed; evaluating new office products.

• Performs administrative duties as required. Including copying, faxing, mailing, invoice/expense processing, and filing.

• Manage, support, and lead special projects, as necessary.

• Support strategic priorities and strategic planning processes.

• Craft comprehensive reports to and for the Senior team that may cover Programs and Operations related work.

• Work across departments to achieve cross-team collaboration and communication.

• Performs other duties as assigned.

Reception Supervisor

• Supervises front desk receptionists’ performance and creates the receptionist schedule.

• Onboards new receptionists (staff, volunteers, and Nation Able placements) and provides ongoing feedback and motivation.

• Ensures all receptionists greet every patron and maintain an awareness of surroundings, even when busy with phone calls.

• Ensures all receptionists maintain a friendly and helpful disposition when interacting in-person or on the phone with diverse Lesbian, Gay, Bisexual, Transgender, and Queer (LGBTQ) community members and allies.

• Develops training materials and revises as needed.

• Ensures receptionists maintain confidentiality for all visitors and clients.

• Maintains clean and organized environment, including tables, chairs, and reception desk.

• Ensures receptionist duties are performed and that all reception staff respond to behavioral challenges as needed; ensures reception staff have good rapport with security.

• Assists operations as requested; suggests improvements.

• Communicates effectively with diverse populations, including all Center constituents, e.g. staff, patrons, clients, donors, volunteers, interns, etc.

Experience and Qualifications:

• Proficiency with Microsoft Office applications: email (Outlook), word processing (Word), spreadsheets (Microsoft Excel), presentations (PowerPoint), and the ability to learn and master other computer technology /software programs as needed. Good command of Internet usage.

• Excellent written and verbal communication skills.

• Ability to work independently and without supervision while demonstrating discretion and independent judgment.

• Strong attention to detail.

• Ability to manage multiple tasks and projects simultaneously.

• Excellent organizational and time-management skills.

• Bilingual skills (Spanish/English) highly desirable.

• Lesbian, gay, bisexual, transgender sensitivity.
