PROGRAM DESIGN: RTS operates After School Programs and Summer Camps in Brooklyn, Queens, Manhattan, and the Bronx. Our programs are designed to expose young people to a wide range of creative learning activities in the areas of science, music, sports, preforming arts, technology, and much more. PRIMARY FUNCTION: As Chief Administrative Officer, you are a key member of the Executive Management Team, the Chief Administrative Officer assumes a strategic leadership role in the overall management of the organization in all of the following areas: Community Engagement, Development, Quality Assurance and Human Resources. The ideal candidate will have proven experience in a non-profit leadership/management roles, with a special focus on executive-level advising, project execution, and key interdepartmental collaboration.
ORGANIZATIONAL ROLE:
  • Supervisor: Chief Executive Officer
  • Hours: Fulltime, Monday - Friday
  • Compensation: $115,000 - $130,000 per year

CHIEF ADMINISTRATIVE OFFICER RESPONSIBILITIES:
Serve as strategic thought partner to Chief Executive Officer
  • Assess and evaluate operational performance in accordance with Local, state, and federal funders and head the Program Quality Assurance efforts.
  • Responsible for short-term and long-term operational goals in tandem with the Director of Operations.
  • Provide insight and recommendations to both short and long-term growth plans of organization related to expansion of Programs/locations.
  • Identify processes and utilize systems to provide operational efficiencies making recommendations to the Director of Operations.
  • Participate in pivotal decisions as they relate to strategic initiatives and operational models
  • Communicate, engage and interact with Board of Directors, CEO, other C-level peers and other key constituents within the organization and Volunteers.
  • Implement policies, procedures and processes as deemed appropriate by Executive Leadership Team
  • Provides input to strategic decisions that affect the functional area of responsibility.

Human Resource/ Risk Management
  • Oversee Human Resource Department, directly supervising the Director of HR
  • Develop risk policies and standards for risk management.
  • Implement a strategic plan to prevent, eliminate, and mitigate operational risks.
  • Identify and evaluate risk area across operational activities.
  • Ability to communicate and negotiate with the liability insurance broker for the best rate.
  • Ability to manage all phases of open and or new litigations / lawsuits.

Development Department
As head of the development department, the Chief Administrative Officer will lead, manage and implement an annual and multi-year fundraising plan to support the annual operating budget, and will identify the strategic partnerships, tools, and messages that will ensure the success of those plans. Supervise, mentor and provide leadership to the Marketing & Communications Manager who will help implement the annual fundraising plan. In addition, the CAO will be an advocate for Roads to Success mission to a variety of stakeholders, including foundations, corporations, and individual donors and prospects.
  • Serve as a member of the leadership team to communicate fundraising goals and priorities among staff and board, and to integrate those goals into the organization's strategic decision- making.
  • Help steward a pipeline of individual and major donors, including identifying prospects, cultivating relationships, and making direct solicitations, in partnership with the CEO and Board members.
  • Partner with the CEO and Board of Directors' Development Committee to support the board in their efforts to be strong ambassadors and fundraisers for Roads to Success.
  • In collaboration with CEO and program staff, create and implement an institutional giving program and process, identifying aligned foundation prospects, devising an outreach strategy, and collaborating in development and writing of compelling proposals to support new and existing programs.
  • Develop, in conjunction with Marketing & Communications Manager and programmatic leadership, fundraising materials and communication efforts to support fundraising that are aligned with Roads to Success's brand and voice.
  • Manage day-to-day fundraising operations; ensure that the systems, software and protocols necessary for an effective fundraising program are in place, including robust and efficient donor engagement, gift tracking, grant proposal and application submission calendar, and reporting systems.
  • Work with the CFO to provide revenue projections and reports; systematically review and evaluate fundraising effectiveness; support quarterly and annual reconciliation process; and support the annual audit.
  • Cultivate a culture of philanthropy among all staff, board members, and donors.
  • Monitor fundraising trends and philanthropic issues and provide recommendations to the President & CEO.
  • Perform other duties as assigned.

WORKING ARRANGEMENTS:
  • The Chief Administrative Officer will regularly work in-person from RTS Headquarters Office on three days of each week (9:00AM-5:00PM); however, during some weeks in which office/facilities management and in-person program support needs are less than normal, in-person requirement may be reduced to three days a week, based on advance approval from Chief Executive Officer.
  • During certain weeks when in-person support needs for program sites and other departments are high (e.g., during and in preparation for Program staff orientations, all-employee trainings, special events, or specific projects/initiatives), the CAO will work in-person on all five days of the week. The CAO's week-to-week hybrid schedule must accommodate the needs of the office of CEO.

QUALIFICATIONS:
  • A degree in Business Administration, Non-Profit Administration, or related field.
  • At least two years of administrativeexperience.
  • At least three years of experience in supervision and managerial level.
  • Direct experience with office or facilities management.
  • Must have previous work experience in a complex, fast-paced, and highly professional role
  • Direct experience managing sensitive and confidential matters with a high level of professionalism and grace under pressure.
  • Strong execution and organization skills and demonstrated experience in prioritizing and executing multiple priorities seamlessly with excellent attention to detail.
  • Has excellent interpersonal, written, and verbal communication skills and is effective in developing positive and productive relationships with all levels of staff and management across
