About the Role

SmartMedia Technologies is seeking a highly organized and detail-oriented Project Manager to play a crucial role in providing high-level administrative support to our CEO and Chief of Staff. In this dynamic position, you will be responsible for managing calendars, completing expense reports, booking travel, coordinating meetings, handling confidential information, and ensuring seamless communication within the organization. The ideal candidate is detail-oriented, high-energy, resourceful, and capable of multitasking in a fast-paced environment.

As the Project Manager to the CEO, you will serve as the primary point of contact between executives and internal/external stakeholders, contributing to the efficient operation of the executive office. Your proactive approach and ability to maintain confidentiality will be essential as you navigate diverse responsibilities, including calendar management, communication coordination, and special project assistance.

What you’ll do

  • Executive Support:  Work closely with the CEO and Chief of Staff, attend meetings, coordinate, and follow up with other leaders on behalf of the CEO Office, track and provide structure for the myriad of strategic initiatives.

  • Project Management: Provide strategic project management support to lead and manage complex projects, ensuring optimized project performance, efficiency, and resource management in alignment with project deliverables and goals.

  • Office Support: Provide general administrative support to the headquarter office (Carbondale, CO), including ordering supplies, and processing expenses.

  • Calendar Management: Coordinate and manage two executives' calendars, including scheduling and prioritizing appointments, meetings, and travel arrangements.

  • Expense Report Management: Efficiently manage and process expense reports for the CEO, ensuring accuracy, compliance with company policies, and timely reimbursement.

  • Meeting Coordination: Organize and schedule internal and external meetings, prepare meeting agendas, and assist in the preparation of materials. Ensure meeting rooms, virtual tools are set up and logistics are in place.

  • Travel Arrangements: Coordinate travel plans, including booking flights, accommodations, and transportation. Ensure executives have all necessary information for seamless travel.

  •  Other ad-hoc tasks, duties, or special projects as assigned

Knowledge, Skills and Abilities that demonstrate innovation, passion, service, and execution:

  • Ability to work on-site in our Carbondale, CO HQ, with flexibility for after-hours to handle urgent matters

  • Proficient in Microsoft 365, Google Workspace and virtual meeting tools such as Google Meet, Zoom, TEAMs, Asana or similar, etc.

  • Excellent organizational and time management skills.

  • Strong communication; both written and verbal, and interpersonal skills.

  • Ability to handle highly sensitive and confidential information with discretion.

  • Detail-oriented and able to prioritize tasks effectively.

  • Self-starter; have a resourceful and proactive approach to problem-solving.

  • Adaptable and ability to work in a fast-paced environment.

  • Have a positive attitude and welcoming personality

 

Education, Experience and Training:

  • Bachelor's degree or equivalent qualifications and/or work experience in a related field. Willing to train. 

  • Certification in Project Management (e.g. CAPM, PMP, CSM, or SCRUM) is a plus or equivalent experience.

  • Previous experience as a Project Manager or similar role is a plus.

  • Previous experience supporting executives in a similar capacity is a plus.

Compensation 

There is a different pay range applicable to specific work locations and regions. Base salary for this role is in the range of $55 -70K per annum and is dependent on numerous varying factors, including but not limited to location, skills, work experience, job-related knowledge, and location. This range does not include other compensation benefits.
