The Catering & Event Coordinator is responsible for the day to day sales operations and administrative needs of the sales department and for promoting Buca in the local community, calling on and blitzing corporations, local businesses and retailers, schools, churches and hotels. In addition, the Catering & Events Coordinator should look for and attend local trade shows and bridal expos to further promote business and brand. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions.Sales and Promotion ResponsibilitiesWork with the Corporate Sales Team along with the Paisano Partner to promote Buca in the local community to drive business for the restaurant:Maintain regular contact with area Hotel Sales Teams and Concierge.Cold calling on local corporations to introduce yourself as the local sales contact and to inquire about their dining and catering needs. Offer to send them your contact information and menus and visit them to promote the product.Sales Blitzing with collateral to local schools, churches, local businesses, medical offices, retailers, etc., to promote current promotions and offers.Maintain Lobby Fishbowl Lead program. Call on these leads to thank them for dining at Buca and offer to send them our group and catering menus and visit them to promote the product.Call on past bookings to see if they have any upcoming events we can host or cater.Attend tradeshows, business expos and bridal shows.Essential Functions50%+ in area sales travel to promote the company's offerings, follow up on sales leads, and introduce/re-introduce local contacts to the brandEnsure prompt, friendly service according to Buca di Beppo's guidelines.Book parties and Events for the restaurant.Answer client telephone calls and inquiries about events, menus, products, prices, availability and billing terms.Follow up and service corporate bookings and leads sent by the Corporate Sales Team and submit confirmation in return in a timely manner.Make recommendations to clients, based on their needs and interests.
Create a positive guest experience and provide quality service through detailed event planning.Respond to all sales leads. Follow up and service corporate bookings and leads sent by the Corporate Sales Team and submit confirmation in return in a timely manner.Follow company data entry standards set to ensure a well-maintained database.Generate Banquet Event Order (BEO) event details, estimates, and proposals that meet specific client needs.Re-confirm final counts and details forty-eight hours prior to the event. Communicate all event details to all departments of the restaurant.
Prior to the event, meet with the Manager on Duty handling the event and/or Paisano Partner to ensure a successful function and to ensure all requirements of a group are met. Contact client after their event to thank them and ask them to think of us for future events.Settle payments and close BEOs. Assist in collecting funds after departure of group, if necessary.Follow up and service corporate bookings and leads sent by the Corporate Sales Team and submit confirmation in return in a timely manner.Maximize unit profitability through proper yield management.Knowledge and Adherence to all policies and procedures, including standard Sales Operating Procedures outlined in the Sales Reference Guide.
