Primary Purpose of Position
Responsible for a variety of Business Services and administrative tasks for Cooperative Extension Business Operations Unit in support of CE purchasing and accounting team, directory maintenance, and copier/printer operations. Assists CE property manager with motor fleet processing, service requests, and office space assignments and access. Supports the CE Finance and Business Operations Director and AEA Executive Administrator with scheduling meeting, taking note, preparing agendas and meeting minutes.
Primary Function of Organizational Unit
The Cooperative Extension Program at North Carolina Agricultural and Technical State University is
an educational outreach organization within the College of Agriculture and Environmental Sciences.Cooperative Extension at A&T provides researched-based educational information, programming and technical assistance to limited-resource audiences that address a diverse range of issues in four programmatic areas - Agriculture and Natural Resources, Family and Consumer Sciences, Community and Rural Development, and 4-H Youth Development.Together with its partners - North Carolina State University Cooperative Extension Service, U.S. Department of Agriculture, state and county governments, a dynamic and resourceful system is formed.In addition to campus operations, The Cooperative Extension Program has professionally staffed offices in almost half of the 100 counties in North Carolina and the Eastern Band of Cherokee Indians.
Work Hours 8:00AM-5:00PM Monday-Friday Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies.
Key Responsibilities and Related Competencies
Required Competency Business and Records Administration Duties
Receive and assess CE purchase order items and process online receiving in University eProcurement system (Aggie-Mart)
Work with CE property manager for CE inventorying process by creating the inventory sheet and providing him the appropriate state/federal inventory tags
Notify supplies/equipment requestor and encourage a timely pick-up once items are received.
Keep CE general office supplies room organized and replenish office supplies in a timely manner
Maintain CE printers/copiers and monitor incoming mailings, assign and update departmental mailboxes as needed
Acquires Unity ID for new employees
Required Competency Work Coordination/Planning Duties
Work with CE Property Manger to submit work orders for building maintenance and repairs, HVAC adjustment etc. as needed.
Coordinate with CE Property Manager to process any new equipment request (cell phones, computer, office furniture etc.) to ensure that any non-functioning or obsolete equipment is replaced.
Assist CE property management team with motor fleet tasks as they relate to state and Extension vehicles (i.e. submitting CE vehicle maintenances and repairs service requests and ordering new units when needed).
Assist CE Property Manager with projects in locating/relocating staff, retrieving and colleting all property and equipment during the CE staff's departure clearance process.
Act as a liaison between Cooperative Extension and IT Project Management to prepare telephone service requests and acquisition of new equipment through computer portal,
Assists employees with key issues - i.e. locking and unlocking doors and work stations as needed).
Required Competency Information Processing and Decision Making Duties
Review and verify CE monthly phone bill and recommending for payment
Collect CE monthly county mileage logs and verify mileage charged to CE county staff with CE Regional Extension Directors for payment.
Verifying university monthly Motor Fleet Charges and work with proper office to reconcile any discrepancies.
Required Competency Communication Duties
Support CE Finance and Business Operations Director and AEA Executive Administrator with scheduling and preparing meeting, taking notes, preparing agendas and meeting minutes.
