Business Office Manager
FLSA Status: 12 Month Exempt
Position Purpose:
Under the general supervision of the Assistant Superintendent of Business/CSBO, the Business Office Manager will assist in the budgeting process, grants, and payroll administration. This position will assist the CSBO in planning, organizing, and directing activities related to budgeting, financial management, procurement, and other administrative functions. Other duties will be assigned by supervisor and or Superintendent.
Essential Functions / Key Responsibilities:
I. Payroll/Financial Management Assistant
- Manages payroll processing and work in concert with employee benefits administration.
- Assists in the development and management of the school district's budget.
- Collaborates with the CSBO to monitor and control expenses to ensure adherence to the budget.
- Participate in the preparation of financial reports and forecasts for the school board, district leadership, and relevant stakeholders.
- Assists in managing the procurement of goods and services, including negotiating contracts and obtaining competitive bids.
- Finalize implementation of Red Rover Timesheets and Attendance Program for FY25 school year.
- Grant writing and journal entry of Federal and State and Privatized Grants for school district use.
- Participates in the maintenance of inventory and asset management for both audit/appraisal purposes.
- Contributes to efficient allocation of resources and assets within the district.
- Contributes to the supervision of the maintenance and repair of district facilities.
- Assists in managing contracts with maintenance and service providers.
- Ensures a safe and conducive learning environment in collaboration with the CSBO.
- Co-Evaluate and Supervise the Director of Building and Grounds and the Maintenance Department
- Works with the CSBO to ensure the district complies with all relevant regulations, including education and financial reporting requirements.
- Assists in preparing and submitting necessary reports to educational authorities and government agencies.
- Collaborates with district leadership and the CSBO to develop and implement long-term financial and operational strategies.
- Participate in the development of policies and procedures to improve district operations.
- Collaborates with the CSBO to identify and mitigate financial, operational, and compliance risks.
- Assists in developing and maintaining contingency plans for potential disruptions.
- Fosters positive relationships with parents, students, staff, and external stakeholders.
- Helps to address financial and administrative concerns or inquiries from the district community.
- Bachelor's degree in business; Masters preferred.
- Chief School Business Official Accreditation (or pursuit of the certificate) and/or Professional Leadership in Education master's degree.
- Several years of experience in financial management, administration, or a similar role, preferably in an educational setting.
- Experience processing payroll; Infinite Visions preferred
- Strong knowledge of budgeting, accounting, and financial software.
- Excellent organizational, leadership, and communication skills.
- Familiarity with relevant regulations and compliance requirements in the education sector.
Performs other related tasks as assigned by the Assistant Superintendent of Business/CSBO.
