Business Office Manager
The Business Office Manager, manages and coordinates: accounts receivable, banking functions and HR. They produce monthly reports as assigned and or requested. Collect and record monthly rent from residents. Distribute monthly allowance to residents as per HFS’s guidelines. Must always be in town at the beginning of each month (unless that day should fall on a weekend or a holiday then it would be the preceding days) and always be available on all payroll days or they must have another person assigned to cover their position and the responsibilities of their position.
Responsibilities:
- Keeps all accounts (banking, petty cash, etc.) reconciled daily as per Eden’s Policy.
- Collects monthly rent
- Recording-all monies collected in PCC system (rents, charges, etc.)
- Follows up with Social Security, Residents and families on up-paid balances
- Distributing resident’s monthly allowance (Payouts)
- Recording all Payouts in PCC
- Reviews all DM files to ensure all corresponding documents are Electronically Signed
- Submits and updates: Resident-Admits and discharges On move-in day and or the subsequent day
- Submits all Medical Re-determinations when due-Via ABE
- Familiarity with generally accepted accounting principles.
- Outstanding customer service skills.
- Ability to work with minimal supervision, take initiative and make independent decisions
- Attentive to detail with high level of competence in both paper and electronic record keeping.
- Ability to communicate at all levels of organization and work well within a team environment in support of company objectives
- Strong understanding of PCC and Excel
HR-Responsibilities:
- Highest level of professionalism with the ability to maintain confidentiality.
- Open position(s) job postings Schedules interview(s)
- Conducts initial Interview (via Zoom)
- Schedules follow up interviews for Department Director or Facility’s ED
- Enters all New Hire information in ADP and sends ADP- LINK to new employee (for document upload)
- Enters Termination(s) information in ADP and uploads corresponding Documents
- New Hire Orientation (s) (via Zoom)
- Enters Hours in ADP Bi-Weekly for Hourly Employees, sends to upper management for approval and submission
- Reports new hires via IDPH
- Updates 30 day information via IDPH
- Updates term employees via IDPH
This is a full-time position requiring approximately 40/45 hours per week. Your regular weekly schedule will be Monday to Friday 09:00-17:00.
