Position Description: Lewis-Burke seeks to fill an open position that will provide logistical and administrative support to the firm’s Business operations. The position will
Coordinate travel for staff and the company President (utilizing travel software support) when required ensuring expenses are captured for accounting purposes and deconfliction of executive calendar.
Oversee the firm’s business development proposals providing administrative oversight for editing and ensuring oversight of submission requirements and due dates which will require strict adherence to deadlines and attention to detail.
Detailed Activities Include:
Travel:
Track employee travel requests and approvals. (Client approved or Company approved)
Ensure expenses are submitted by staff after travel is completed.
Assist employees with travel software platforms if assistance is required.
Provide training in travel software as required for new employee onboarding.
Manage President’s calendar/travel.
Book travel arrangements.
Conduct weekly de-confliction meeting with President for two-week projection.
Ensure all executive travel expenses have receipts sent to accounting for invoicing.
Proposals:
Understand and ensure all proposal submission requirements are met, verifying insurance, technology, confidentiality, etc.
Track the proposal cycle and ensure due dates of team inputs are submitted by authors and serve as liaison between authors and team members assigned.
Update and verify reference information for proposals.
Serve as a writer, editor, and/or reviewer with the proposal manager.
Submitting proposal via portal or internal methods.
Assist in analysis of data and metrics.
Administrative Tasks:
Receive tasks and requirements from the President, Chief Business Strategy and Operations Officer, Executive Operations Officer, and Chief Administrations Officer.
Confidentiality:
Maintain strict confidentiality for internal and external administration pertaining to sensitive information (i.e. proposals, client information, expenses, etc.)
Required Skills & Qualifications:
Advanced proficiency in Microsoft Office tools, including Outlook, Word, OneNote, Excel, and PowerPoint.
Exemplary written and communication skills
Ability to multitask and prioritize effectively
Preferred Skills & Qualifications:
Experience in business administration and proposals.

Job Type: Full-Time /Non-exempt / Temporary 6-month position, position may be extended.
Pay: $20-30 per hour based on candidate’s experience
Schedule: 8-hour shift / 8:30am – 5pm
