Title:Branch Administrator
Reports to: Assistant Administrative Manager
Status: Full-time
Working Hours: 8:00am – 5:00pm
Purpose of position:
Branch Administrator - Responsible for management of new boiler sales and maintenance orders, including order and sales processing, managing shipments and daily office management. Compiles reports for sales and maintenance analysis and forecasting. Manages sales and maintenance inventory and fixed assets.
Essential Duties and Responsibilities:

1. Answer phones provide help when able and direct to appropriate people if needed
2. Process orders, approval requests, obtain required documents from reps and customers, etc.
3. Create Sales Orders, generate and issue pro-forma invoices when needed, submit relevant documents to accounting, Parts Center order, and PO to Vendors
4. Manage projects (status up-date, asking questions, etc.) and communicate with sales and maintenance
5. Coordinate and arrange order shipment (factory, Parts Center, Vendors, customer/rep, etc.)
6. Submit/process internal money transfer requests (start-up, destination fees, split sales, etc.)
7. Draft quotations
8. Assist Sales and Maintenance team communicate with customers/reps/potential customers, request information/documents, etc.
9. Collect data for sale and maintenance department managers
10. Keep customer job files up to date
11. Month-end physical inventory - data entry, generate report, submit for approval and to accounting
12. Create Customer Code (obtain documents, data entry, submit to Accounting)
13. Maintain CRM data entries (Customer-S# link, start-up info, industry code, address change, etc.)
14. Process Rebate, Rep. commission, Sales Split, etc.
15. Manage inventory, order parts (Parts Center and Vendors), receive incoming product, month end physical inventory
16. Process and record CAR requests from customers/reps
17. Accounts receivable/aging, collections
18. Process Accounts payable invoices
19. Office Management (supplies, fire extinguishers, lights, etc.)
Position Requirements (knowledge, skills and abilities required to perform satisfactorily in the position):
BA preferred
3+ years of customer service
3+ years of sales processing experience
Proficient in Microsoft Office, particularly Excel
Excellent written and oral communication skills
Excellent organization skills
Logistics and transportation related knowledge and experiences.
Ability to work well with others who may lack experiences and understanding, and together accomplish goals.
Project management experience
Ability to multi-task and to manage multiple projects.
Knowledge and experiences of Accounting practices (AP, AR, Collections)..
Willing to learn new tasks.
Work well under pressure.
