Forward Montana is seeking a temporary, full-time Field and Office Coordinator to support the efficient functioning of the day-to-day operations at the organization. The Field and Office Coordinator will assist the Operations Director in coordinating various financial, administrative, and HR functions to ensure smooth operations with adherence to organizational policies. Additionally, the Field and Office Coordinator will engage with program staff on field efforts such as voter registration and GOTV programming. This hybrid operations/program position is ideal for someone who is interested in behind-the-scenes nonprofit administration and has the desire to make direct change in their community.

Applicants should have a proven ability to learn and implement new processes and operational functions while maintaining a commitment to accuracy and attention to detail. Applicants should also have a passion for making change and working on a breadth of civic and political projects that support FMT’s mission and vision. All staff at Forward Montana are expected to participate in field efforts during election season (like making phone calls and knocking on doors).

What You'll Do

The Field and Office Coordinator, located in Bozeman, reports to the Operations Director and is responsible for the following:

  • Office Coordination (50%)
    • Coordinate the day-to-day management of supplies, equipment, and facilities for the organization.
    • Assist the Operations Director with financial management including bookkeeping, payroll, expense reporting, and other financial duties as assigned.
    • Assist the Operations Director with political compliance obligations including the tracking and reporting of political expenses.
    • Assist the Operations Director with board coordination including the preparation of meeting materials and logistics, and planning the annual board retreat.
    • Assist the Operations director with HR functions including processing new hire paperwork and maintaining records in accordance with Montana law
  • Field Coordination (25%)
    • Conduct quality control and data entry of all collected voter registration forms in Bozeman. Keep forms organized and turn in all forms to the appropriate county elections offices.
    • Coordinate new and existing voter registration opportunities in Bozeman.
  • Field Shifts (25%)
    • Conduct field shifts to increase voter turnout and to collect voter registration forms for up to 8 hours at a time including door-to-door and field canvassing, tabling, and phone-banking.

  • Deadline and detail oriented: Ability to independently manage and complete multiple tasks and projects by deadline. You are able to consistently and accurately perform duties and communicate challenges in a timely manner.
  • Ability to learn new technology systems and software quickly: You are quickly able to master desktop and mobile applications used by the organization for time tracking, expense management, and project management.
  • Comfortable working with numbers and spreadsheets: You love creating complex spreadsheets - the more formulas the better! :D
  • Experience in building strong collaborative relationships: You’re comfortable working with multiple staff and departments who are located in different locations across the state. Because this position also includes a field component, you're excited to get out and connect with young people and get connected to programmatic work!
  • Ability to problem-solve: No obstacle is too big! You think three (or 30) steps ahead to anticipate hurdles and come up with pragmatic solutions. You have the ability to identify and remedy systems or processes that are not working as well as they could.
  • Flexibility & Adaptability: You are able to shift quickly to meet the needs of the ever-changing political world, and work to implement the changes. You have a willingness to shift priorities and take on new responsibilities as needed.

Nice To Have's

  • Basic understanding of nonprofit bookkeeping - experience with QuickBooks or a similar accounting software is especially appreciated;
  • Experience liaising with external vendors on behalf of an organization;
  • Experience, either professional or voluntary, with fieldwork is not required, but experience is always a plus;
  • Familiarity with the local community and existing relationships with youth, student groups, and organizations is always appreciated.

Logistics

  • You must be comfortable working unconventional hours-- including nights and weekends
  • You must have access to reliable transportation (a valid driver’s license is required)
  • You’re comfortable conducting fieldwork for up to 6-8 hours at a time in all weather conditions
  • This position includes both in-person and virtual components based on public health guidance around COVID-19
  • You must be comfortable being managed and building relationships with our statewide team remotely
  • This position will work out of our shared office space in Bozeman

This a non-exempt position at $22 per hour, with bonus opportunities at the end of the year. This is a temporary position with an anticipated start date of February 27, 2024 and end date of December 20, 2024. This start date can be flexible for the right candidate.
