Role Overview: As the Bookkeeper/Administrative Assistant, you play a pivotal role in our Finance department, overseeing essential processes and bookkeeping tasks. This position, based in Verona, NJ, offers compensation ranging between $24.00 - $27.00 hourly, commensurate with experience.
Key Responsibilities:
- Enter accounts payable entries in QuickBooks for invoices received via mail, email, and auto pay.
- Input daily bank deposits per online details in the accounting system.
- Monthly match receipts to approximately 14 accounts for credit card and bank statements.
- Perform weekly reconciliations for Athena Till in medical offices, verifying deposits and clearing in Athena.
- Generate weekly accounts payable Excel summary, adding check numbers, and marking stubs with office names.
- Pay invoices online and clear them from the accounting system.
- File check stubs.
- Enter patient and insurance refunds in QuickBooks as needed.
- Maintain vendor information up-to-date in the accounting system.
- Open mail, scan, and organize electronic files.
- Review vendor files at month-end to ensure all invoices are in the accounting system.
- Compile and prepare accurate reports and documents related to personnel activities.
- Undertake administrative tasks, including filing, scanning, and meticulous data entry for smooth operations.
- Track, calculate, and process pay-related changes for our employee base.
- Reconcile deposits for payments via check, ACH, or Credit Card methods.
- Stay updated on tax regulations and compliance requirements.
- Contribute to projects assigned by the Controller, showcasing your versatility.
