Job Objective: The Billing Analyst is responsible for supporting Industrial Services billing, including service order reconciliation, sales approval, change order requests and settlement, project waivers/releases, final invoicing, and management of customer records, while supporting other team members with issues that arise such as credit/rebills and collections disputes. A successful Senior Industrial Services Invoicing Analyst is capable of coordinating with a dispersed team across multiple geographies and functions, including Sales, Operations and Finance, while embodying the values of Safety, Quality, Delivery, and Cost excellence.
Essential Duties and Responsibilities: In addition to the essential job functions described below, all associates will perform duties requested by management.
Industrial Service Order Management
- Complete reconciliation of completed service orders for assigned service lines
- Collaborate with Sales and Operations teams to determine any required invoice adjustments
- Coordinate with customer contact for request and settlement of change orders
- Invoice service orders upon receipt of all required documentation and approvals
- Maintain contract documentation and tracking to ensure accuracy of invoicing and payment applications
- Complete and submit all required customer documentation, such as lien releases
- Respond to customer inquiries regarding invoice details and billing information
- Prepare monthly management reporting, including project paperwork status reports and unbilled/unearned project reports.
Industrial Service Team Support
- Support Customer Service team with creation and maintenance of required customer accounts
- Serve as administrator for all RRS customer portal accounts (Ariba, Coupa, GEP, Transcepta, etc.)
- Assist credit department with collection of customer invoices
- Maintain service records and files according to record retention policies
- Aid other members of the Industrial Services team with resolution of invoicing issues and credit/rebill needs
- Respond to audit requests, as received
- Assist Sales team with changes/updates to customer information to ensure accurate reporting
- Serve as primary “knowledge hub” for Industrial Service Order-to-Cash process
Other
- Professionally represent the company at all times ensuring quality customer service
- Abide by all policies, rules, and regulations of the company including all applicable safety rules, regulations, and procedures
- Support corporate programs, goals, and initiatives of the company
- Maintain communication with management with regards to problems and opportunities in the business
- Work overtime as needed
