This is an administrative position responsible for assisting the Development Office in daily operations by performing administrative support duties combined with entry-level development work.
Responsible for assisting with coordination of special events and research on prospective donors and performing a wide variety of administrative activities. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.
Essential Job Functions:
- Provides administrative support to the Development Office by assisting staff in daily duties and responsibilities.
- Handles routine and confidential correspondence.
- Maintains departmental records and files.
- Assists with scheduling appointments for the Chief Development Officer, CEO and others as needed, as well as generating expense reports and travel reimbursement for departmental staff.
- Assists with planning and coordinating special events.
- Assists in researching prospective donors, to include compiling data and submitting summary reports.
- Assists in compiling various regular, special, and ad hoc reports.
- Maintains a professional and courteous demeanor while representing the department.
- Non-Essential Job Functions Assists with special projects as assigned.
- Works outside normal office hours and on weekends as required.
Required Knowledge, Skills, and Abilities:

- Knowledge of, or the ability to learn, clinic policies and procedures.
- Knowledge of general office practices and procedures.
- Skill in typing with minimal errors.
- Skill in the use of standard office equipment and software.
- Skill in using computer applications including spreadsheet, database (CRM) and word processing software.
- Skill in completing assignments accurately with attention to detail.
- Ability to learn office- and donor-specific software.
- Ability to understand and interpret policies and procedures accurately.
- Ability to accurately prepare and maintain records, files and reports.
- Ability to communicate effectively in both oral and written form.
- Ability to establish and maintain a good rapport with donors, board members, staff, volunteers and the general public.
- Ability to analyze, organize and prioritize work while meeting multiple deadlines.
- Ability and desire to promote a favorable image of the clinic.
- Ability to work with and maintain confidential information.
- Ability to work evenings, nights and weekends as necessary.
Education and Experience
- High School diploma or GED
- Must be self-motivated and able to multi-task efficiently
- Must be comfortable speaking to large groups of people
- Understands and communicates the mission of Bethesda Health Clinic
- Demonstrates an ability to build relationships with people of all ages, demographics, and socio-economics status
- Demonstrates strong customer service, time management, and organizational skills
- Has good leadership and communication skills
- Has demonstrated experience in community outreach (preferred)
- Has experience working with social media (Facebook, Instagram, Twitter, etc.)
- Has experience in event planning
