Position Overview
Provide support in all Human Resources areas for SMS (Sales, Marketing & Services business unit) for Americas (U.S, & Canada), with specialization in health, welfare & retirement benefit programs, leave of absences, work incidents/accidents (Workers’ Compensation), and payroll & HSA/HCSA (Health Savings Account/Health Care Spending Account) processing.
Position Holder is Accountable For:
- Manage North American SMS health and welfare benefit programs, including administration, plan design, billing, HSA/HCSA funding and annual benefit open enrollments.
- Manage North American SMS retirement benefit programs and the facilitation of HR-related topics, when needed.
- Manage and coordinate separations for North America SMS pertaining to HSA/HCSA, retirement benefits and terminations from systems and plans.
- Oversee all leave of absences and work incident/accident claims for North America SMS
- Primary HR Payroll Liaison for non-standard and unique payroll impacted changes for North America SMS
Responsibilities:
PAYROLL, BENEFITS AND SEPARATIONS:
United States
- Act as primary HR Payroll Liaison for changes that affect bi-weekly payroll administration, processing, and management.
- Upload proper documentation for payroll broker to process specific status changes.
- Input benefit-related payroll deductions and other important job classification items in ADP
- Respond to routine payroll inquiries and handle escalated issues, as they arise.
- Work closely with Payroll Broker in preparation and review of year-end payroll-related tasks
- Recommend efficiencies between Payroll Broker and Human Resources for payroll processing.
- Manage Health and Welfare benefit programs.
- Work with benefit broker throughout claim reviews, renewal negotiations and open enrollment facilitation
- Responsible for processing all open enrollment, new hire and mid-year benefit changes.
- Oversee the plan administration and legal compliance for medical, Health Savings Account (HSA), dental, vision, life, disability, Employee Assistance Program, voluntary and COBRA benefits.
- Manage HSA changes and process bi-weekly HSA funding for all U.S. employees.
- Manage and schedule health and welfare benefit events and webinars/sessions.
- Approve and code benefit-related invoices for prompt payment.
- Oversee all FMLA, leave of absences and work incidents/accidents (Workers’ Compensation) claims.
- Manage Retirement benefit programs.
- Field inquiries and oversee participant 401k and retirement transactions, including monitoring and processing of new 401k loan requests, 401k loan payoffs, 401k contribution changes, 401k hardship withdrawals, and pension payouts.
- Work closely with internal and external retirement program partners and participate in activities related to plan design, development, communication, annual compliance, participant education, and administration of 401k and Pension plans.
- Act as a member of 401(k) Plan Investment Committee, participate in regular reviews of investment menu, and make recommendations as necessary.
- Separations
- Oversee final HSA contributions and process pension paperwork, if applicable
- Provide support to employees who are planning for retirement.
Canada
- Act as primary HR Payroll Liaison for changes that affect semi-monthly payroll administration, processing, and management.
- Upload proper documentation for payroll broker to process specific status changes.
- For address changes, update ADP, Manulife and CanadaLife sites
- Input benefit-related payroll deductions and other important job classification items in ADP
- Respond to routine payroll inquiries and handle escalated issues, as they arise.
- Work closely with Payroll Broker in preparation and review of year-end payroll-related tasks
- Oversee time and attendance using the BambooHR site.
- Recommend efficiencies between Payroll Broker and Human Resources for payroll processing.
- Manage Health and Welfare benefit programs.
- Work with benefit broker throughout claim reviews, renewal negotiations and open enrollment facilitation
- Responsible for processing all open enrollment, new hire, and mid-year benefit changes.
- Fund HCSA for employees annually and upon hire
- Oversee the plan administration and legal compliance for health and dental, Health Care Spending Account (HCSA), life, disability, Employee and Family Assistance Program, and voluntary benefits.
- Manage and schedule health and welfare benefit events and webinars/sessions.
- Oversee all leave of absences and work incidents/accidents claims.
- Manage Registered Retirement Savings Plan (RRSP) program.
- Field inquiries and oversee participants’ RRSP transactions semi-monthly.
- Process the RRSP funding for each plan participant, monthly.
- Work closely with internal and external retirement program partners and participate in activities related to plan design, development, communication, annual compliance, participant education, and administration.
- Separations
- Process the cancellation of benefits for terminating employees and removal from systems.
EMPLOYEE RELATIONS/MISC:
- Advise and provide support to employees and managers on policy clarification, laws, and personal issues, when needed.
- Member of the Emergency Response Team for the NY office
- Stay abreast of changing legal matters concerning Human Resources
- Assist with the development of policies and user guides.
Requirements:
- Bachelor’s degree in business strongly preferred with 5-7 years’ experience supporting an HR function and specializing in benefit and retirement plan administration.
- Strong attention to detail, organizational skills with ability to multi-task while handling highly confidential materials.
- Strong interpersonal skills and empathetic approach to customer service and ability to embrace positivity and teamwork.
- Initiative to follow up on pending issues.
- Strong computer skills with high degree of comfort using MS Office Suite
- Experience with ADP Workforce Now and time keeping systems highly desired.
- Experience with Canadian office management desired

Pay: $60,000.00 - $65,000.00 per year
