Job Summary: As a Benefits Specialist, you will be responsible for overseeing the implementation and administration of employee benefit programs within the Company. Your primary focus will be to ensure that employees consume benefits optimally that align with the company's strategic objectives and meet legal requirements. Customer Service is a key driver of this position to ensure all employees are completely satisfied with the Benefits direction and information provided.The Benefits Specialist will assist Employees in navigating Technologent’s benefit policies and compliance needs. This role will split their time between backend administration and front-facing employee inquiries.
Well versed in all things benefits and compliance, the successful Benefits Specialist has worked in multi-state, fast-paced and collaborative environments and enjoys being a point of contact for Employees at all levels. The ideal candidate brings benefits administration experience, a strong desire for proactivity and exceptional Customer Service.
This is an onsite position in our Irvine, CA office.
Responsibilities:
  • Customer Service
    • Respond to Employee inquiries via phone, email, and chat in a professional and timely manner.
    • Handle Employee concerns and issues with their Benefits and ensure satisfaction.
    • Maintain accurate records of Employee interactions and transactions.
    • Collaborate with other team members to ensure a seamless Employee experience.
    • Provide feedback to management on Employee concerns and suggestions for improvement.
    • Stay up-to-date on benefits knowledge and company policies.
  • Benefits Program Management
    • Support, implement, and manage employee benefit programs, including health insurance, retirement plans, wellness initiatives, disability coverage, and supplemental benefits.
    • Stay updated on industry trends and regulatory changes to ensure compliance with local, state, and federal laws, including ERISA, HIPAA, ACA, and other relevant regulations.
    • Collaborate with insurance brokers, benefit providers, and HR team to collaborate on the development and review of benefit plans, contracts, and agreements.
  • Employee Education and Communication
    • Educate employees on available benefits, policies, and procedures.
    • Create and deliver clear, concise, and engaging communication materials including handbooks, brochures, websites, and presentations.
    • Conduct regular employee workshops and training sessions to answer questions and address concerns related to benefits programs.
  • Benefits Administration
    • Handling benefit enrollment and changes, including coordinating Open Enrollment periods.
    • Oversee the day-to-day management of employee benefits, ensuring accurate and timely administration, enrollment, and record-keeping.
    • Serve as a point of contact for employees regarding benefit-related inquiries, problem-solving, and issue resolution.
    • Collaborate with HRIS team to ensure accurate and up-to-date benefit plan information in HRIS systems.
    • Ensure terminated employes are placed on COBRA as defined by federal and state laws.
  • Compliance and Reporting
    • Monitor and audit benefit plans for compliance with regulatory requirements.
    • Prepare and submit required reports, filings, and disclosures, including Form 5500, 1095-C, and other benefit related filings.
    • Coordinate annual benefit plan audits and assist with the preparation of financial statements related to benefits.
    • Support the data collection, messaging, and submission for such events as California Pay Transparency Act, reporting of Veterans employed, reporting of Women and Minorities employed, etc.
  • Data Analysis and Cost Management
    • Analyze benefit program costs, utilization, and effectiveness to make data-driven recommendations for program enhancements.
    • Conduct benchmarking studies to evaluate the competitiveness of the company's benefit plans.
    • Identify cost-saving opportunities and participate in the design and implementation of cost containment strategies.
    • Submit monthly billing statements to Accounts Payable after reconciliation of plan payments against employes plan selections defined within ADP.

Requirements:
  • Strong knowledge of benefit laws, regulations, and industry best practices.
  • Excellent presentation skills to help delivery Employee and Manager training.
  • Excellent communication skills with the ability to relay complex benefit information to employees.
  • Proficient in using and navigating within a human resources management software and services; preferably ADP.
  • Attention to detail, strong analytical skills, and excellent problem-solving abilities.
  • Ability to handle confidential and sensitive information with utmost discretion.

Education and/or Experience:
  • Bachelor's degree in HR Management or relevant work experience.
  • Preferred 5+ years of experience as a Benefits Specialist or related HR role.
  • Holds Human Resources credentials, preferably SHRM CSP
Language Skills:
  • Proficient in English
  • Effective communication and people skills.

Salary:
  • $75,000 - $100,000 (dependent on experience).
  • Pay will be based on several variables that are unique to each candidate, including but not limited to, job-related skills, experience, relevant education, or training, etc.
