Associate Financial Admin

Jacksonville, Florida

InVestra, a fee-based financial planning and asset management firm, seeks an Associate Financial Admin to provide customer service and assistance, often interacting with the customer by phone or in-office. Our ideal candidate will be able to determine initial prospect eligibility and assist with troubleshooting or issue resolution. They may also help with processing orders, requesting tech support, and scheduling appointments. This role requires patience, excellent communication skills, and a passion for customer service. Must be comfortable with technology, including email and chat tools, along with data entry programs. These representatives must be able to work effectively in stressful situations. Supporting a Women-Owned Money Management Firm, the Wealth Advisor is passionate about her business and wants to bring a mid-level, high functioning talent to the next level as she too is in rapid growth mode. Please note, this position is expected to be performed in person within a team environment.

This position is a full-time role.

Applicants should be self-motivated individuals that have a working of knowledge in investments, retirement modeling, and risk management. Competitive salary/bonus and benefits are offered.

Desired Skills & Experience

Candidates must:

  • Manage account opening process for new and existing clients.
  • Be proficient in Microsoft Excel, Word, and Outlook.
  • Experience with financial planning software E-money and investment software programs is preferred
  • Be able to meet deadlines and be very detail oriented
  • Be very organized with the ability to switch from one project to another
  • Be excellent at problem solving and communicating
  • Possess a strong knowledge of the financial industry
  • Possess a strong work ethic and ability to multitask
  • Work well in a team-oriented environment
  • Demonstrate an ability to develop and cultivate relationships

  • Be authorized to work in the U.S. without restriction as to duration
  • Pass a thorough background check

  • Must be a self-starter and able to independently move projects forward, prioritize tasks, and meet deadlines.

  • Advanced phone and email management abilities.

  • Comfortable working with a variety of common operating systems.

The candidate will require well-developed self-management, social, and communication skills to deal positively and constructively with clients and other employees in stressful situations. Strong attention to organization, detail, and the ability to document process and establish flows for effective use of time is also required.

Education:

  • College graduate and/or 2-5 years of experience in the financial services industry
  • Series 7 and Series 63 licensed

Prior Experience:

  • Previous experience in the financial services industry a must

Skills and job requirements:

  • A strong work ethic, excellent communication skills, strong interpersonal skills, and high integrity are a must.
  • Manage account opening process for new and existing clients.
  • Assist financial advisors with marketing efforts including seminars, etc.
  • Ensure all client review materials are in place and completed.
  • Serve as the first point of contact for clients or prospects.
  • Promote and cross-sell products and services appropriate to client needs.
  • Develop, coach, and motivate junior peers to achieve departmental goals.
  • Assist with portfolio rebalancing (document preparation, money movements).
  • Maintain databases and creates reports using portfolio software programs.
  • Follow established policies, practices and procedures and provide feedback for improvements.
  • Responsible for the daily support of our clients.
  • Place holds on accounts for uncollected funds in accordance with regulations.
  • Make plans where appropriate to adapt control processes and procedures.
  • Participate in case reviews, consulting with the team to evaluate the client's needs and plan for continuing services.
  • Adhere to the department policies and procedures for client requests.
  • Adhere to all bank and regulatory requirements and participate in required training.
  • Process and follow up on client documentation for proper maintenance of accounts.
  • Experience supporting client relationships
  • Strong working knowledge of Microsoft Word and Excel
  • Experience with investment research software (i.e, Morningstar, E-Money, S&P reports, Riskalyze, Right Capital)
  • Ability to analyze, collect, and communicate complex information
  • Ability to multitask and manage a workload
  • Time management skills and ability to work independently
  • Must be able to work well under pressure with tight deadlines
  • Ability to demonstrate confidentiality and discretion with respect to all client and firm information
  • Smart, willing to learn and not set in their ways

Additional Compensation:

Performance Bonus, A Yearly Retention Bonus, Simple Plan (retirement account) Compensation of up to 3% of salary.
