Job Overview:
The Associate Admissions Representative will be responsible to assist, advise and train students for admissions. Provides administrative support to students, faculty, Campus Manager and Director in a timely, accurate and efficient manner. Duties include, but are not limited to the following:
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Provides superior customer service when responding to inquiries with prospective students on the phone, in writing, by email and/or in person. Handles moderately complex customer service issues.
  • Provides customer service such as, but not limited to, answering questions from visitors, providing guided tours of the school facility, program/class descriptions and explaining details pertaining to the Education Catalog and related publications.
  • Explains specific details related to education programs such as tuition, program length, curriculum and other pertinent education and compliance facts as provided by the school.
  • Corresponds to general questions regarding Education, Alumni Association, Gems & Gemology and workroom schedules via all modes of communication with a sense of urgency.
  • Implements, trains and mentors registration of all students through Student Information System (SIS) and Customer Relationship Management (CRM) database; enrolls new applicants in to respective On-Campus, Lab classes, seminars and workroom schedules.
  • Adhere to the accreditation and regulatory standards, collect and verify student documents to meet the admissions requirements and save them in students’ permanent folders.
  • Advises and assists international students and prospective international students in complying with government regulations concerning status, immigration, visas, passports, permission to work, and related matters.
  • Evaluates international students' qualifications in light of admission requirements and make recommendations relative to admission.
  • Advises and assists international students in procedures for exiting the United States, and in obtaining legal changes of status, extensions of stay, or optional practical training.
  • Generates international student I-20 documents in the Student and Exchange Visitor Information System (SEVIS), which allows students to apply for an M-1 visa.
  • Manages international student information and records within SEVIS; and keeps up-to-date with Department of Homeland Security policies and guidelines.
  • Assist in training new DSOs with learning SEVIS system and creating I-20s to provide to students to apply for the M-1 visa.
  • Assigned as the primary point of contact for corporate students and lab employees applying for the lab classes for the New York campus. Builds and maintains client relationships to ensure client satisfaction.
  • Conduct On-Campus program and Lab class orientation for new students and prepare enrollment agreements and required documents necessary to be signed on the orientation day or first day of class.
  • Troubleshoots complex database/systems issues (i.e. missing data, system errors, etc.). Works with other departments, as necessary, to resolve system / set-up issues.
  • Communicates effectively, is affable and creates a comfortable work environment with co-workers and management, and deals with others effectively, courteously and professionally under pressure.
  • May assist with other activities and services that support student success including, but not limited to, student records, tuition payments or scholarships, career services, translations, inventory handling, procurement, maintenance – (e.g. stones, instruments, course materials, teaching aids, etc.), supporting the learning resource center (book collections), etc.
  • Follows company policy in maintaining confidentiality of student and prospective student information.
  • Serves as stand-in to fellow team members; remains flexible providing support where needed; answers and forwards incoming calls; takes messages, as appropriate.
  • Participate in recruiting events, orientation, outreach events, tradeshows and provide educational campus tours to potential students.
  • Performs other duties as assigned.
TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities):
  • Learning functional knowledge/expertise in area(s) of focus.
  • Proficient computer skills utilizing software such as Microsoft Office Suite, e.g., MS Word, Excel, PowerPoint; and e-mail, SIS Jenzabar, CRM Salesforce and LMS Blackboard expertise strongly preferred.
  • Ability to multi-task on various administrative duties; possess outstanding organizational skills, and adapt to a fast-paced office environment with multiple priorities in effectively manage deadlines.
  • Ability to communicate complex info in a simplified and clear manner; understands and uses communication / email etiquette. Ability to project a professional image in person, over the phone and in writing. Possesses quality voice skills, speaks well, and can be clearly understood via telephone and in person.
  • Flexible, team-oriented and solution-oriented. Excellent interpersonal skills when communicating with clients, colleagues and senior management.
  • Identifies potential problems, articulates / classifies issues and is able to determine next steps; applies sound analytical and reasoning skills during the problem-solving process; analyzes the data gathered and reaches a solution or provides a summary for a management decision when needed. Knows when to escalate problems.
  • Seeks to understand, maintain and foster sensitivity and respect for a culturally diverse work environment.
  • Strong active listening skills, supportive behavior and communicate positively regarding department goals and objectives.
  • Able to settle differences in productive ways while minimizing disruptions both internally and externally.
  • Commitment to student development and success and capable to work in a fast-paced environment and be a self-starter
EDUCATION AND EXPERIENCE:
  • High school diploma required; and 3-4+ years of related experience; or equivalent combination of education and experience. Bachelor’s degree preferred.
  • AJP diploma or willingness to obtain upon hire required
CERTIFICATES, LICENSES, REGISTRATIONS:
  • New York State Education Department Bureau of Proprietary School Supervision Private Career School Agent License, additional state licenses acquired upon hire.
  • Proficiency in Designated School Official (DSO) information to communicate and assist students required or willingness to obtain upon hire.

Pay Range:
$22.00-$26.00/hr.
