ON-SITE ASSISTANT PROPERTY MANAGER - [CAM PREFERRED]

General Description

The Assistant Property Manager is responsible for supporting the daily activities of the Property Manager and includes general property management services and resident relations. The Assistant Property Manager oversees the Front Desk and Valet Attendants and the Housekeeping Staff.

Job Duties & Responsibilities


  • Assists Property Manager with managing a condominium hi-rise property.
  • Assists with all business, financial, and management aspects of the assigned property, including preparing, implementing, and adhering to the approved strategic plan, the budget for the property, developing and maintaining strong working relationships with the Board members, unit owners, and tenants.
  • Review monthly receivables for accurate reporting and contact unit owners to address any discrepancies in unit ledgers.
  • Act as a liaison between Board, unit owners, and association attorney retained to pursue collection actions.
  • Facilitate closings by acting as a liaison between the association, corporate office, lenders, brokers, realtors and title agents.
  • Manages resident relationships to ensure tenant retention and a high level of service, including timely and complete resolution of resident concerns.
  • Performs quarterly property inspections.
  • Coordinates insurance requirements for associated vendors.
  • Responsible for drafting meeting agendas, taking Board minutes, assists with leading Board of Director meetings by keeping the focus on the agenda created.
  • Supervising the day-to-day activities of the front desk, valet attendants, housekeeping staff, and other building staff as requested as well as contract services.
  • Oversee front desk operations and manage daily schedule, including emergency scheduling/placement if need be.
  • Attends weekly board meetings as directed by the Property Manager.
  • Assist Administrative Assistant with the violations process, which includes, but is not limited to: reviewing notices of violation, notice of grievance committee meetings, attendance at grievance committee meetings, and drafting notices of fine.
  • Oversees repairs, apartment alterations, and capital improvements, as required, in compliance with local codes.
  • Handles emergencies and deals with crisis management as directed by the Property Manager.
  • Codes all invoices of the week and provides them to the Property Manager for his/her approval.
  • Creates culture needed to enhance, promote, and execute daily positive interaction among members of the building.
  • Performs such other duties as may be assigned by Management at its discretion from time to time.


Amount Of Supervision Required

The Assistant Property Manager must be able to perform such duties with minimal supervision. Tasks are performed under the general direction of the Property Manager.

Credentials and Experience

  • Bachelor’s degree; preferably in a business-related field.
  • At least two years’ experience in residential condominium management.
  • Knowledge and experience with financial accounting in residential real estate, financial reporting, and budgeting.
  • Hands-on experience with capital improvement construction projects; ability to plan, organize, and coordinate multiple projects. Ability to read and understand construction specifications and blueprints is preferred.
  • Proven knowledge and understanding of property management procedures, including legal requirements
  • Proficient with MS Office Suite, especially Outlook, Excel and Word, and in property management software.
  • LCAM preferred.

Physical Demands

The Assistant Property Manager is required to sit and stand and occasionally may be required to reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 20 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.
