We are seeking an Asset Services Coordinator within our Asset Services team located in the Seattle office. This individual will provide general office support to the Asset Services Team and participates with the team in all areas of portfolio management.
Essential Duties and Responsibilities:
Administration
- Assist with lease administration, prepare lease summaries, prepare lease exhibits, and track tenant insurance certificates, and vendor contracts
- Prepare broker commission packages including commission calculations
- Administer access control system (issuing key cards and maintaining database)
- Input and maintain Angus work order system
- Initiate tenant notification letters and e-mails as needed
- Assist Asset Services Team with special projects
- Assist in planning all tenant events, parties, gifts
- Assist in the preparation of leasing proposals
- Assist in the preparation of company related materials
- Assist in annual budget preparation
- Track tenant receivables, follow up on outstanding balances and prepare delinquency reports
- General office administration and management - ordering supplies, preparing FedEx, supporting catering requests, etc.
- Assist Regional Leadership with calendar management and scheduling
Contract Administration
- Participate in bid process when searching for new vendors
- Prepare service contracts and track vendor insurance certificates
- Track contracts with pending signatures
- Maintain spreadsheets to track all current contracts in region
Accounts Payable
- Type, file and maintain purchase orders and invoice files
- Code invoices and route for approval
- Research invoices in Accounts Payable software (Nexus) when necessary
- Audit open purchase orders on a consistent basis
- Prepare utility cost/consumption reports when necessary
Qualifications and Experience:
- Bachelor's degree in Business, Accounting, or Finance preferred
- 1 years experience in property management and/or commercial real estate
- Strong accounting background and familiarity with lease provisions and lease administration
- Proficient in MS Office (Word, Excel, PowerPoint, Teams) Experience with JDE or other property management accounting software a plus
- Exceptional communication and people skills
- Strong customer service skills
- The expected base salary range for this position is $65,000 USD to $80,000 USD annually. This salary range is an estimate, and the actual salary may vary based on the consideration of many factors, which may include, but are not limited to: the individual's knowledge, experience, education, qualifications, skills, job location, and the Company's compensation practices.
