Essential Duties and Responsibilities:
Administration
- Assist Seattle Asset Services Team with special projects (ie. small building improvements projects which include but not limited to signage updates, furniture installation and upgrade common area amenities)
- Assist in the preparation of company related materials
- Direct janitorial, security and engineering staff as needed
- Answer primary office telephone at all times during business hours as needed
- Assist in the preparation of the annual property budgets for the Asset Services Team
- Initiate tenant notification letters and e-mails as needed, including pre-default email and default letters
- Maintain tenant statement/rent/billback files
- Assist Asset Services Team with Lease Administration and special projects including lease summaries
- Support leasing efforts including vacant space preparation, VTS data management and support, broker commissions and space tours
- Assist in planning all tenant events, parties, gifts
- Maintain budget tracking and monthly TRE spreadsheet
- Assist Senior Vice Presidents with expense reports as needed
- Assist in all aspects of property maintenance
- Act as emergency administrator for the office, including, but not limited to, maintenance of the defibrillator agreements, emergency backpacks, monthly emergency checklists and maintaining resource forms
Contract Administration
- Participate in bid process when searching for new vendors
- Assist in preparation/execution of all construction contracts, vendor service contracts and purchase orders
- Support capital and tenant improvement jobs by following internal processes and document tracking
- Assist with review and approval of tenant improvement plans, and monitor/assist with construction execution of plans
- Maintain spreadsheets in conjunction with ARE Vendor Contracts Team to track all current contracts in region
- Maintain current and complete (all limits, coverage types, expirations and additional insured) certificates of insurance for all tenants and all vendors
Accounts Payable & Accounts Receivable
- Research invoices in JDE/Insight/NEXUS when necessary
- Code / process invoices in Nexus online system including scanning and coding invoices into Nexus Payables system
- Notify contractors/vendors of appropriate remittance address
- Prepare utility cost/consumption reports when necessary
- Assist with monthly Accounts Receivables process
- Review and edit tenant bill backs in conjunction with TRE Pools
Building Management Assistance
- Assisting, under the guidance of the Senior Asset Manager, with the following day-to-day operation duties, including but not limited to:
- Support day-to-day tenant issues; triage ongoing issues and escalate to senior property manager where appropriate
- Coordinate and dispatch on site engineering activities for day-to-day operations
- Consistently search for ways to improve/enhance operational environment/asset in order to improve overall experience
Qualifications and Experience:
- Bachelor's degree in Business, Accounting, or Finance
- 3 years of experience in property management and/or real estate
- Strong accounting background and familiarity with lease provisions and lease administration
- Proficient in MS Office (Word, Excel, PowerPoint)
- Experience with JDE, Yardi (or other property management account software).
- Exceptional communication and people skills
- Strong customer service skills and positive attitude
- The expected base salary range for this position is $80,000 USD to $90,000 USD annually.
