The Artistic & Media Coordinator supports the activities of the Artistic Department, working closely with the Director of Artistic Partnerships & Music Planning. They are principally responsible for the adult and child supers, light walkers, and child wranglers for all Houston Grand Opera events and productions, including casting and hiring, communication, and payroll. They also support the activities of artistic media projects, recital events, and department contracting. This an annual seasonal position, operating from September through May.

Compensation and Benefits

Key Responsibilities
- Manages the casting, hiring, and contracting for supers (child and adult), child wranglers, and light walkers for all Houston Grand Opera events and productions in collaboration with the Director of Artistic Partnerships & Music Planning.
- Working closely with Rehearsal Planning, creates and maintains the super production calendars.
- Prepares, processes, and administers payroll for all contracted groups, and provides Payroll Summaries to all artists and personnel as required.
- Organizes and attends the audition process for supers, developing outreach and recruitment strategy.
- Communicates regularly with the contracted groups regarding rehearsal logistics, production announcements, and reminders.
- Supports the organization and administration of artistic media projects, including coordinating logistics for recording projects, collection and creation of audio-visual product booklet/supplemental materials, logging royalty reports, and submitting required reporting to union partners.
- Coordinates the annual Patron and Laureate Recitals for the Artistic Department, collaborating closely with Philanthropy colleagues on day-of logistics, artistic needs for the event, communication of program information, and artist support at the event.
- Manages contract administration for Music Staff, in coordination with the Head of Music Staff.
- Performs other duties as assigned.
Qualifications
Candidate should possess a Bachelor’s degree with a focus in the performing arts/arts administration or equivalent professional experience; administrative experience in a performing arts organization is preferred. Candidate must have a knowledge of operatic and classical vocal repertoire. Proficiency with MS Excel and Word essential. Knowledge or experience with ArtsVision preferable. Strong interpersonal and writing skills, diplomacy and discretion, excellent organization and follow-through are required. Previous experience in contract administration, payroll, and classical media projects is helpful.

Requires a team player who can maintain calm and deliver results in a fast-paced environment. Skilled in working and collaborating with a variety of personalities. Will have to maintain a demanding and flexible work schedule during production periods. Weeknights and weekend hours required.
Physical Demands
The physical demands described here are representative of those we consider important for an employee to successfully perform essential functions of this job: extended periods of sitting, and performing tasks such as typing and using a computer mouse, with strong visual and auditory focus, occasional lifting (not exceeding 25 pounds), reaching for items, proficiency in keyboarding, effective communication skills, and fine motor abilities, being mobile within the office for activities like attending meetings.
