The Program Assistant is a vital role to our organization and will help support the day-to-day operations of the Quality Control Division. Department: Development Services Unit
Full-time/Exempt
Salary Range: $36,000 - $46,000
Essential Functions and Responsibilities:
- Manage calls and schedule of Assistant director of Architecture & Engineering as needed.
- Collaborate with Manager of Architecture and external stakeholders with technical drawings, reports, and presentations.
- Assist and support architects in executing multiple architectural projects.
- Answer bidder inquiries, managing bidding and budgets, prepare written reports, provide general support to project members, such as document preparation.
- Assist with the review of the architectural drawings and specifications as the basis for contract bids.
- Assist with the review of contract plans and specifications for adherence to applicable design standards.
- Serve as liaison between Assistant Director of Architecture, vendors, URA staff, regulatory officials, and clients.
- Assist with review of proposals for professional services and construction bids received by the URA.
- Record information and manage financial transactions, check requests and bookkeeping.
- Assist with the management and administration of construction contracts and consultants.
- Assist with document preparations such as contracts, amendments, authorization memos, and board agenda.
- Schedule meetings and reserve conference rooms as needed.
- Assist Quality Control staff to ensure that design and construction projects meet URA standards.
- Assist Quality Control staff to provide technical information to other URA departments.
- Serve as backup for payroll approval as needed.
- Assist with managing project file folders and updating project information on daily basis.
- Other assigned duties a required.
- Assist with creating, recording, controlling, and organizing documents and drawings.
Position Requirements and Qualifications:
- Bachelor's degree with minimum 3 years of experience working in construction office environment.
- Extensive knowledge of industry practices, procedures, and market trends and strong administrative background.
- Analyzing information, preparing documents and spreadsheets, and maintain vendor relationships.
- Reporting skills, estimating, decision making, teamwork and documentation Skills.
- Must be organized, focused, accurate and detail oriented.
- Must be a team player and people oriented.
- Strong communication and written skills
- Microsoft Word, Excel, and PowerPoint proficiency.
Preferred Qualifications:
AutoCAD and Sketchup proficiency.

Physical Requirements:
- Ability to perform the essential job functions consistent safely and successfully with the ADA.
- Must be able to lift and carry up to 20 lbs., standing, sitting, reaching, and stretching.
- Must be able to talk, listen and speak clearly on telephone.
