```Job Overview:
To perform all aspects of the position with precision and excellence, from Call Management, Check-in and Check-out and beyond…. The objective is to deliver a lasting positive guest impression leading to a great guest experience and high retention rate. Each person within this department must oversee the Guest Relations area and maintain the med spa boutique to assure a beautiful presentation and profitability, and to maximize and achieve department and individual revenue targets.
Responsibilities:
- Checks patients in
- Ensure medical history and consent forms are complete
- Ensure before and after photos are taken and uploaded to patient’s chart by the end of the day
- Upload all social media material to Dropbox and delete from devices
- Ensure social media consent is updated if patient agrees to social media
- Apply numbing cream to prepare patients
- Help set up procedure room
- Ensure work station is stocked including:
- Gauze
- Needles
- Syringes
- Numbing cream
- Cannulas
- PRP supplies
- IV supplies
- Neurotoxin, filler, threads and lidocaine needed to perform upcoming procedures
- Keep track of inventory and communicate with spa manager if an order is needed on a weekly basis
- Assist in the procedure room as needed
- Retrieve/open supplies
- Prep the patient’s skin
- Help chart procedure notes
- Update Square ticket/invoice
- Help enter Aspire/Allē points
- Attends all in-house training and commits to outside continuing education
- Attends and participates in all general and team meetings
- Help turn procedure room over
- Mentors/trains new team members to help them grow
- Professional guest communication
- Maximize revenue generation for both treatments and retail
- Maintains a smile at all times
- Performs opening and closing duties
- Clean and autoclave instruments daily
- Able to help with the guest relations duties if needed
- Record videos for social media
- Help keep the workspace organized and clean
- Follow up with all patients on a weekly basis and communicate with provider if any issues are noted
- Ensure enough ice packs are readily available for the week
- Stock procedure packs for the week
- Record patient history notes for upcoming procedures the day before
- Assist in retail sales, application of Arnica, skincare, post care
- Address any outstanding tasks for provider on Remedly daily i.e. outstanding procedures notes, chart notes, online consultation, messages, etc.
- Other duties as assigned or requested
Requirements:
- Previous experience in a salon or spa setting is preferred but not required
- Experience in front line guest service (hospitality and retail highly desired)
- High school diploma or college
- Computer skills and aptitude for mastering med spa software
- Good selling abilities
- Flexible schedule
- Professional image with gracious, warm, and genuine personality
- Skin care knowledge and understanding of the med spa menu
- Good organizational skills and follow-through
- Able to multi-task and improvise on the spur of the moment
- Phlebotomy experience is a plus
