The Administrative Support Specialist is responsible for maintaining records for potential and current parents licensure, adoption and regulatory requirements and provides Administrative Support to the department.
Provide weekly reports to Recruitment and Training Supervisor on current parent licensure and regulatory requirements
Track parent compliance and licensure information
Maintain accurate parent information in the Extended Reach database system
Responsibilities include but not limited to:
Request updated documentation/information from foster parents.
Prepare, complete and maintain adoption records as needed
Complete required background screens on current foster parents as well as potential new foster parents
Home Study follow up
Respond to new inquires in a very timely manner including follow up.
Conduct CPR and other trainings when needed
Serve as the initial point of contact for potential new foster parents interested in learning more about fostering. Conduct orientations as needed.
Provide information outlining agency licensure standards to potential parents; and track potential parent licensure inquiries
Communicate training/orientation requirements to potential parents
Answer phone calls and respond to inquiries in a professional and courteous manner
Assist foster parents and visitors with requests
File all documentation and maintain foster parent files adhering to regulatory and agency guidelines
Maintain and file foster parent documentation. Submit information to State entities as required
Perform other duties as assigned by supervisor for programmatic or administrative purposes
Qualifications:
Experience working in a Foster Care support role. Strong computer literacy. Excellent organizational skills and attention to detail and accuracy in data entry and record keeping
as well as verbal and written communication skills.
Ability to maintain professionalism and handle confidential information with discretion
Individual must have reliable transportation; have current vehicle insurance and driver’s license.
Two years experience in administrative assistance; knowledge of Foster Care issues a plus
