Responsibilities
- Coordinate the appointments and meetings of the managing partner. Assist with appointment preparation by obtaining questions/documents from customers.
- Manage the visitor portal, including who enters and exits the office; alert staff when their appointment is ready.
- Assist with general office inquiries and provide high-level customer and client support by phone, in-person, and email.

- Keep all calendars up to date, and call all appointments ahead of time to remind them.
- Organizing all files and papers in their right locations.
- Sort incoming mail and hand deliver it to each recipient; carry outgoing mail to the mail center in the building's lobby at the end of the day.
- Maintain an inventory of all office and kitchen supplies and arrange orders as needed, keeping the premises clean and clutter-free.
- Assist staff workers with administrative tasks such as opening and closing files, faxing, scanning, and other such tasks.
- Create weekly reports for collected payments for reimbursement to the bookkeeper.
- Using the billing system, generate bi-monthly invoices and contact clients with past-due balances for payment.
- Serve as the company's face, greeting customers and providing coffee, tea, and water as required.
