Who we’re looking for
Toyota’s Customer Care Department is looking for a passionate and highly motivated Administrative Specialist Supervisor.
The primary responsibility of this role is to demonstrate ownership of overall Experience Center performance by supporting, motivating, and energizing Team Members. Supervises Administrative Specialist staff on a day-to-day basis to ensure effective, efficient, and accurate handling of Retail Exchange and Charge Off work. Provides one-on-one and ongoing coaching and guidance to Admin Specialist staff.
What you’ll be doing
- Ensure team continuity and quality of service by providing effective coaching and constructive feedback to Administrative Specialists on an individual and ongoing basis to maximize performance.
- Identify opportunities for Administrative Specialists to develop the knowledge, skills, and abilities required to increase their effectiveness and complete objective and relevant performance appraisals for direct reports in a timely manner.
- Serve as a resource to Administrative Specialists dealing with complex or difficult requests.
- Work in conjunction with direct Manager in the evaluation, development, and implementation of workflow efficiencies.
- Assist the direct Manager in developing standard and consistent operating procedures, goals, and objectives for the workgroup including handling, monitoring, and follow-up guidelines.
- Work with leaders across the department to identify opportunities to enhance the customer experience through process improvement activities.
- Monitor the changing needs of the team provide input and participate in the interview, selection, and hiring process to ensure adequate staffing levels.
- Resolves Team Member performance issues or refers them to the direct Manager, as appropriate.
- Monitors and reviews Administrative Specialist work, ensuring SOP and FOPP compliance with financial and cash handling policies and procedures.
- Prepares, assigns, and distributes work assignments.
- Completes objective and relevant performance appraisals and development plans for assigned Team Members in a timely manner.
- Utilizes various systems to access daily/weekly reports which provide the information required for account correction and Team Member oversight and accountability including reviewing team member activity reports.

- Demonstrates a solid understanding of industry practices, Toyota, and department philosophies.
- Understands and recognizes problems and how to make connections to prioritize and develop solutions that align with organizational goals.
- Possesses excellent written and verbal communication skills and the ability to interface with all levels of team members.
- Ability to build relationships with a broad audience both internal and external to TFS.
- Working knowledge of Microsoft Office Applications (Word, PowerPoint, Excel, etc.)

- Demonstrated experience within a self-driven productive workflow environment.
- Ability to use critical thinking skills to independently make decisions when appropriate.
- Ability to shift effectively between tasks and manage time amid multiple deadlines.
- Working knowledge of Microsoft Office
- Prior automotive finance experience
- Bachelor’s degree or higher, or equivalent work experience preferred.
