JOB SUMMARY
Under the general supervision of the Department Head, the Administrative Program Support position for the Educational Psychology Department in the Neag School provides support to maximize the effectiveness of the Department by coordinating administrative efforts. Working collaboratively with the Dean’s Office personnel, Business Services Center, faculty, professional staff, and others across campus, the Administrative Program Support position performs a variety of administrative tasks for an academic unit to ensure the effective implementation of its programs and/or activities. Acting as a department administrative assistant the duties are established by the Department Head, and in the case of the program-specific administrator, in consultation with the faculty responsible for the program’s activities. The specific areas of responsibilities may include, but are not limited to, assisting the Department Head in all department matters, providing fiscal and business support, project coordination, and communications. DUTIES AND RESPONSIBILITIES
For Either Level
- Communicate daily with UConn faculty, students, and staff to ensure all departmental matters are handled appropriately and efficiently.
- Serve as a resource to individuals and groups on matters relating to program activities and administrative policies and procedures.
- Assist with all hire requests and team searches throughout the year.
- Perform office management duties in processing administrative, academic, financial, payroll, and immigration paperwork.
- Maintain schedules for managers, supervisors, and other personnel.
- Compile and maintain resource materials and program information.
- Serve as a resource to students, staff, faculty, and others on matters relating to administrative procedures and some matters relating to program specialty.
- Collect and disseminate news about program opportunities and accomplishments.
- Support the admissions process and answer questions related to the program.
- Assist in purchasing items for the Department and determine appropriate means of payment for individuals and items.
- Draft offer letters and appropriate documentation for all new and returning hire requests. Obtain the appropriate signatures and process payroll authorizations.
- Coordinate and assist with travel requests for guests and UConn students.
Additional Duties and Responsibilities for the Administrative Program Support 3
- Supervise undergraduate student worker(s) and assign tasks to support daily departmental operations.
- Plan and oversee the work of professional staff in the Department.
- Provide direct training and related support services for junior administrative staff, students, and faculty and follow up to resolve problems in assigned areas of responsibility.
- Assist the Department Head with the annual budgeting process and monitor accounts.
MINIMUM QUALIFICATIONS
- Bachelor’s degree in a related field and two years of related professional experience or an equivalent combination of education and experience.
- Demonstrated experience working independently and in a team setting.
- Demonstrated strong organizational and planning skills.
- Excellent attention to detail and writing skills.
Additional Minimum Qualifications for Administrative Program Support 3
- Bachelor’s degree and three to four years of related professional experience or an equivalent combination of education and experience.
- Supervising and/or leadership experience.
PREFERRED QUALIFICATIONS
For Both Levels
- Master’s degree.
- Experience working in a higher education or K-12 education setting.
- Supervisory experience.
- Experience in finance or communication.
- Experience providing administrative support for a large department.
- Excellent technology and computer skills including experience with Microsoft programs and PeopleSoft.
- Ability to communicate effectively with all levels within an organization and have strong interpersonal skills.
- Experience with university financial and administrative systems.
APPOINTMENT TERMS
These are full-time positions. The University offers a competitive salary, outstanding benefits including employee and dependent tuition waivers at UConn, and a highly desirable work environment. The job level and salary will be commensurate with successful candidates' background and experience. The target salary range for this position will be: $50,091-$65,119 for an Administrative Program Support 2; $56,102-$72,933 for an Administrative Program Support 3. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
