Job Responsibilities
- Acts in a professional manner with all Rushford customers and employees: treats all people with respect and courtesy.
- Provides back up support to other administrative staff members as needed including different shifts as necessary.
- Supports clinical staff and managers, providing administrative support to assist them in departmental tasks/projects in a timely and accurate manner.
- Utilizes data integrity reports to assist Rushford to maintain compliance with documentation and required reporting.
- Manages client and administrative records according to policy and procedure maintaining confidentiality at all times.
- Performs shared administrative duties with centralized administrative staff, including, but not limited to, word processing, maintaining spreadsheets, scheduling, data entry and filing.
- Assists with orientating and training of Rushford staff as assigned.
- Utilizes computer software including Word and Excel and CMHC software.
- Manages multi-line telephone system efficiently in a professional manner and demonstrates sound judgment when appropriately triaging phone calls and visitors; providing assistance with respect and courtesy.
- Utilizes network effectively, including intranet resources and Group Wise for managing calendar and electronic mail.
- Adheres to Rushford policies and procedures.
- Operates and troubleshoots office equipment including, copiers, printers, and fax machines. Monitor and order supplies and process calls for service as necessary.
- Assists the adult outpatient department by coordinating training of other administrative assistants.
- Coordinates meetings for department managers by scheduling, organizing, taking notes, and performing research necessary for smooth administrative functions of meetings.
- When necessary, spends up to 4 hours a week working on special projects at the discretion of the department director.
- Performs other administrative duties as assigned by manager or clinical staff.
Qualifications
Qualifications
- Associate's degree or equivalent experience
- Requires a minimum of 3-5 years- office experience; (with 1 year of service in the Adult Outpatient Unit, which applies to Lead position only)
- Demonstrated keyboarding and computer skills (40wpm) with advanced skills in Microsoft Office products
- Demonstrated organizational and multi-tasking skills
- Good interpersonal/written communication skills
- Ability to perform duties with minimal direction
- Commitment to discretion and confidentiality when attending management meetings
