I. JOB OVERVIEW
Job Description Summary:
The George Washington University’s Columbian College of Arts and Sciences (CCAS) is the largest undergraduate school on campus and home to the engaged liberal arts. The CCAS Undergraduate Academic Advising Office provides integral support to students navigating their unique academic journeys. The Administrative Associate position is a key contributor to the success of the CCAS Undergraduate Studies Office and the Undergraduate Advising team.
The position reports to the Director of CCAS Undergraduate Advising and is located within a fast-paced office setting that delivers academic advising and co-curricular opportunities to undergraduate students on a year-round basis. This position does not have direct reports, but it will work closely with the Director and Assistant Directors in delegating work assignments to work-study student employees as well as other full-time administrative staff position.
This position typically serves as the initial point of contact to service and support students, parents, faculty, and staff who enter or contact the advising office. This role assists students, faculty, and staff with various administrative inquiries and procedures such as registration, grade changes, academic petitions, maintaining student records, major/minor/micro-minor declaration, admissions/financial aid/student account inquiries, graduation clearance, and other requests. This position serves as a resource for students, faculty, and staff who may need a referral to the appropriate academic department or campus resource.
The key responsibilities for this position include and are not limited to:
  • Provide assistance to students, from prospective students to alumni, who come to the office for advising services
  • Ensure that office administration policies, supplies, and technological resources are maintained and appropriate for their needs
  • Plan, prioritize, and manage maintenance and space activities and upgrades to equipment, facilities, and systems to minimize disruptions to business activities
  • Communicate and meet regularly with the Director, Assistant Directors, and advising staff about student matters and to identify the needs of the Undergraduate Studies Office
  • Answer incoming phone calls and maintain the CCASUG offce email account
  • Index, assign, and organize uploaded advising forms in GW Box
  • Utilize GW’s Student Employment portal to post student work-study positions, retrieve applications, and disposition applications
  • Hire (review applications and interview), train, supervise, and oversee payroll questions (e.g., clocking in and out) for the office’s student work-study employees
  • Oversee the customer service efforts of the front desk, to include referring constituents to other campus partners and resolving concerns as appropriate
  • Order office supplies and catering for office events
  • Provide the Associate Dean or Director with support for occasional events, as needed
  • Oversee administrative function of CCAS 2154, elective internship course
  • Schedule and arrange payment for office shredding services
  • Review and process major, minor, micro-minor declaration forms in Banner and index documentation in GW Box and/or GW Docs.
  • Serve on committees and/or assist with programming needs as time permits (New Student Orientation, Dean’s List and Scholar Salon, Inside GW Days, Graduation/Celebration Committee, Parent’s Weekend, etc.) or other committees or assignments as requested by the Associate Dean or Director
  • Retrieve and analyze data for the Associate Dean or Director from GW systems such as Banner, GW ThoughtSpot, GW Insight, DegreeMAP, etc. and prepare reports as needed
  • Design and market promotional materials for co-curricular activities, when needed
  • Perform other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.


The position is defined as On-Campus. On-Campus (in-person) work is defined as job functions that are essential and must be completed or are most effectively completed at an on-campus location. These roles provide student services and support, teaching and research support, welcome visitors, serve clients/customers facing roles, among others. Employees have an assigned workspace at an on-campus site.

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
