Requirements

  • Proficient with Google Suite (Gmail, Google Drive, Google Sheets, etc). At least 1 year of experience is preferred.
  • Proficient with Excel functions/ willing and able to learn
  • Ability to report to Denver office regularly
  • 1+ year administrative experience in an office environment or equivalent experience
  • Associates degree or higher preferred
  • Ability to lift 20+ lbs as needed
  • Stationary position 85%
  • Occasionally move about inside the office to put away supply orders, organize supplies, stock fridges, inspect conference rooms, set up for events, etc. (Frequency may vary)
  • Occasionally lifts up to 30 lbs for grocery orders (putting away soft drinks, etc)

Summary of Role:

AdCellerant is seeking an Administrative Assistant to execute a broad range of administrative tasks to help the company run smoothly. The Administrative Assistant will be responsible for seeing to all the little details that make the big picture work!

This position requires creative problem solving, smart prioritization, high levels of organization, attention to detail, and the ability to learn and excel in technology platforms. Critical thinking, great interpersonal skills, and excellent written communication are crucial for this role. This person will report to the Senior Manager, People Operations and Administration and will help skyrocket the efforts of this exciting department.

The People Operations and Administration team is responsible for a wide range of functions related to office operations, division support, employee engagement programs, special projects, and much more. This role will focus on the People Operations side of the department, while remaining flexible and contributing to the overall success of the team. The focus on this role will be executing administrative tasks contributing to success in these areas: Recruiting, Employee Onboarding, Employee Engagement Programs, and People Systems. This includes things like managing users and access in various platforms, scheduling interviews, maintaining reports and conducting audits, managing our employee recognition program, spearheading our internal newsletter, and assisting with our Wellness Program, and more. You will work closely with our Administrative Assistant who focuses on Office Management, Division Support, Events, and Special Projects. The person in this position will become an expert across several areas in order to lend support and back up as necessary.

This position is a hybrid position, with 3 days per week work from home, and 2 days in the Denver office. The schedule can be flexible.


Responsibilities:

Essential Duties

  • Assist the Senior Manager, People Operations and Administration with all tasks as needed
  • Become familiar with company programs and resources for employees, answer questions and solve problems
  • Perform tasks effectively with in given time frames
  • Follow all systems and procedures and help develop new efficiencies
  • Create clear, concise, informative and friendly announcements to the company as needed
  • Schedule with internal and external parties on busy calendars
  • Assist with employee onboarding, scheduling onboarding meetings, helping refine process, etc
  • Assist with user management across third party platforms: Granting access, troubleshooting issues, remove access, compile user reports, etc
  • Assist with recruiting: Contacting candidates, scheduling interviews, etc.
  • Manage our employee recognition program: Sending redemptions for prizes, crafting announcements, etc
  • Assist with monitoring main office phone line and agency line (app on cell phone)
  • Maintain confidentiality for executives, sensitive employee information, candidate information, and more
  • Research as needed for finding out about new products, new vendors, etc.
  • Assist in administrative capacity across all departments as needed
  • Additional tasks as needed! Specifics of this role will continue to evolve
  • Work from the Denver office at least twice per week. There is flexibility with this schedule.

Back up for:

  • Order office supplies, snacks, and drinks
  • Manage vendor relationships, vendor contracts, vendor communication
  • Coordinate office workspace planning
  • Special event planning and catering, such as ordering food from caterers, delivering food, clean up, etc
  • Collect, open, sort and distribute office mail
  • Booking travel for employees and clients
  • Monitor office activity (employee book-a-desk system, office access, office visitors)
  • Organize and monitor kitchen, organize provided snacks and drinks, stock conference room fridges
  • Shipping from office

Location Information:

This role is required to be report our Denver, CO office, with hybrid work from home flexibility.

Our HQ is in Denver, Colorado. Our fun, downtown location is open for those who wish to work in the office, set visitor meetings, and collaborate with coworkers in person.

Team members must live and work in the United States* (*territories excluded), and have access to reliable, high-speed internet.


Compensation:

Target annual compensation: $52,000

$25/hr
