Administrative Assistant - Hybrid (Remote and Boulder, CO )

About the Role:
We are seeking a highly motivated and organized individual to join our team as a Hybrid Administrative Assistant. This role will provide critical support while ensuring smooth day-to-day operations. The position offers a unique blend of on-site and remote work, allowing you to enjoy the best of both worlds.
Responsibilities:
- Calendar and Schedule Management:
- Manage and maintain calendars.
- Schedule appointments, meetings, and travel arrangements, considering time zones and priorities.
- Ensure efficient scheduling by managing conflicts and proposing solutions.
- Communication and Coordination:
- Answer emails professionally, providing excellent customer service.
- Maintain confidential communications and HIPPA compliance.
- Often serves as the first point of contact for inquiries.
- Assist in facilitate communication between team members and external partners.
- Create flyers advertising events, trainings, workshops, and seminars.
- Mailing physical supplies to trainees in advance of trainings and workshops.
- Administrative Tasks:
- Assist in the preparation of meeting agendas, minutes, and presentations.
- Assist in organizing the practice’s workflow.
- Track metrics relevant to the practice and trainings.
- Organize and maintain filing systems (both physical and digital).
- Manage travel arrangements and expense reports.
- Process invoices and payments.
- Perform other administrative duties as assigned.
Qualifications:
- Minimum 2 years of experience as an Administrative Assistant or similar role.
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills
- English proficiency, both written and verbal.
- Experienced in Microsoft Word, Excel, Canva (preferred), Online calendaring and comfortable learning various web-based programs and platforms.
- Ability to work independently and as part of a team.
- Flexible and comfortable taking directions
For the on-site component of the role:
- Availability to work in the Boulder, CO office on a flexible schedule to be agreed upon.
- Reliable transportation to and from the Boulder office.
