Administrative Assistant--Teaching Research and Resource Center
Position Summary
The Administrative Assistant for the Teaching Research and Resources Center (TRRC) is responsible for providing administrative assistance and performing clerical duties in support to the TRRC (and/or assigned supervisor).
Essential Duties and Responsibilities
- Serve as point of first contact for the Teaching Research and Resource Center (TRRC).
- Welcome faculty, staff, students and visitors;
- Answer general inquiries
- Promptly answer and direct incoming calls and respond to emails;
- Arrange travel for faculty/staff and students:
- Coordinate travel reservations (air and hotel) with the College travel agent;
- Process registrations, expense reports, van/car rentals, student travel forms
- Coordinate TRRC program pre and post workshop activities:
- Advertising TRRC events to the campus community
- Reserving meeting space, coordinate meals and/or refreshments, as needed;
- Send follow-up survey to event attendees and/or participants;
- Assist with the administration and assessment of survey and generate a summary report on activities;
- Assist co-directors with budget management for TRRC to include:
- Management of funds for travel arrangements, supply ordering, reimbursement paperwork, and processing faculty stipends
- Follow-up on financial documents:
- Obtain necessary signatures and check on delivery of items;
- Check on delivery of items and process invoices;
- Track progress in Banner system
- Assist with the management of activities associated with extramural grants associated with TRRC;
- Supervise student personnel and assist in the hiring and training process for all student new hires;
- Coordinate with the Office of Communications and the web development team to develop and update the TRRC website;
- Serve as the TRRC liaison to the campus community;
- Provide continuous support to the faculty working in/with TRRC by promptly following up on any requests made.
Required Qualifications
Bachelor's degree and a minimum of 1 - 2 years of prior administrative assistant experience preferably in higher education. This position requires strong customer service focus, excellent communication, verbal and time management skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential.
Excellent oral communication skills are required when providing information and responding to questions from students, parents, employees and the general public in one-on-one or group situations. Also, must be able to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Good proofreading skills are essential.
This position requires basic level skills in specific Microsoft Office applications and may require intermediate or advanced levels in one or more applications. In addition to producing correspondence, duties may involve assignments that require creating spreadsheets using formulas, tables, creating newsletters, and the use of Outlook and Banner Financial Module. Requires the ability to type at least 45 wpm.

While performing the duties of this job, the employee is regularly required to: sit, walk, use hands to handle office supplies, operate computer and other office equipment, talk, and hear. The employee is frequently required to: reach with hands and arms. The employee is occasionally required to: stand, stoop, climb, and lift and/or move up to 15 pounds. Specific vision abilities required by this job include the ability to adjust focus.
