We are looking for an Administrative Assistant to join our team! This position will support the upper management team.
General Job Description
The Administrative Assistant reports directly to the Human Resource Manager. The Administrative Assistant provides administrative support for the company leaders to ensure they can efficiently accomplish key tasks and company initiatives.
Objective
- Provide additional support to the COO, Shop Manager, Accounting Manager, and Human Resource Manager, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.
Duties and Responsibilities
- Answer phones and greet visitors.
- Prepare communications such as memos, emails, reports, and other correspondence.
- Log service call requests and submit request to group text.
- Create and update records and Shop database. You will create RO’s and update spreadsheets.
- Provide administrative and office support, such as typing, spreadsheet creation, and maintenance of filing system and contacts database.
- Maintain professionalism and strict confidentiality with all materials.
- Organize team communications and plan events, both internal and off site.
- Maintaining comprehensive and accurate records.
- Performing minor accounting duties, including invoicing and accounts payable.
- Assist with keeping up with office supply inventory.
- Run errands for the office or shop including but not limited to running parts and the post office.
- Assist colleagues whenever necessary.
- Performs other related duties as assigned.
Skills and Qualifications
- One year of experience in an administrative role reporting directly to upper management.
- Excellent written and verbal communication skills.
- Strong time-management skills and an ability to organize and coordinate multiple tasks.
- Ability to function well in a high-paced and at times stressful environment.
- Proficiency with office productivity tools such as Microsoft Word, Excel, and Outlook.
- The ability to learn new software and systems.
- Flexible team player, willing to adapt to changes and unafraid of challenges.
- Ability to maintain discretion and confidentiality of information related to the company and its employees.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Job Type: Full-time – Hourly
Pay: $14.00 - $17.00

- Paid holidays: New Year’s Day, Independence Day, Thanksgiving, Friday after Thanksgiving, Christmas Eve, and Christmas Day
Schedule:
- Monday through Friday – 8:00 a.m. to 4:30 p.m.
