Job Description
The Bryan County Board of Commissioners is now accepting applications for a Full-Time Administrative Assistantin our Juvenile Court Department. This position will be located at the County Administration Building at 66 Captain Matthew Freeman Drive, Richmond Hill, GA.
The purpose of this classification is to perform a variety of clerical and secretarial duties within the department. Responsibilities include coordinating calendars, logging in forms/orders, reports and other legal documents; entering data into computer; receiving various fees and receipts; preparing reports, forms and correspondence; and other administrative duties.
ESSENTIAL FUNCTIONS
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Receives, logs in, files and distributes various administrative, financial, legal forms and orders, reports and documents.
Performs general secretarial duties such as answering telephone calls and emails, maintaining calendars, drafting and typing correspondence, and copying/scanning/faxing materials.
Responds to inquiries, problems and complaints from the general public and forwards to appropriate contact; provides routine information to the general public regarding department operations and services.
Picks up and distributes incoming mail; meters outgoing mail; and delivers mail to post office.
Prepares correspondence, notices, reports and other materials for mailing; types address labels; stuffs envelopes; mails documents.
Establishes, maintains and updates various computer files and data-bases; generates and prints related reports.
Researches and gathers information for budgets, charts, tables and reports.
Receives various payments invoices for processing.
Coordinates the ordering of supplies; reviews invoices and receipts; distributes incoming supplies.
Coordinate court calendars and conflicts in scheduling, assist with timely filing of orders.
Files, retrieves, copies and distributes forms, reports and other documents. Basic knowledge of Word and Outlook is necessary.
Punctuality and attendance are essential.
ADDITIONAL FUNCTION
Performs other related duties as required. This role may grow to include coordination of services and meetings involving various court stakeholders and agencies.
MINIMUM QUALIFICATIONS: High School Diploma or GED required, one year of experience in secretarial or clerical work or a related field; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Experience in legal field is a plus.
