Department Information
The University makes available a broad array of credit and non-credit courses, seminars, and workshops through the Division of Extended Studies. Some programs are offered on campus and others at off-campus sites including in Colorado Springs, at Fort Carson, in Castle Rock, Huerfano County, and at public high schools.
The Division of Extended Studies provides courses to full-time, part-time, and non-traditional students. Many educational methods classroom instruction, correspondence courses, online courses, conferences, workshops, and seminars are utilized to expand educational access and meet the needs of students at convenient times and settings. Students may earn academic credit toward a degree, study for career advancement, or pursue cultural and vocational interests.
Description of Job
The Administrative Assistant III will work closely with leadership in maintaining functional office operations and customer service management. The position will collaborate with leadership to assist in strategic planning for resources, auditing, student enrollment, process improvement, authorized business functions, program support, and Division Banner support.
The position will assist with functional office operations and customer service management, innovation and strategic planning, data management, and fiscal operations support. The position will assist the Dean of Extended Studies and other Extended Studies leadership with calendar management, event planning and support, and other important customer service tasks to support the Division.
Provide office and administrative support including but not limited to general office processing functions to include mail, telephone and electronic communication and file management. Provide back-up assistance for other Extended StudiesAdministrative Assistants as necessary.
Primary Duties:
Functional Office Operations and Customer Service Management
Office operations including but not limited to:
  • Provide general office support to the Division of Extended Studies by completing all essential office functions at current class level to include customer service, data entry, innovation and process improvement, authorized business functions, customer service for student support, academic faculty, and staff.
  • Understanding and implementation of complex project planning for office purchase orders and work orders.
  • Additional duties as assigned.
Customer service including but not limited to:
  • Respond to inquiries regarding Extended Studies programs, mission, and vision, course registration and outstanding issues,
  • Correspond with students, faculty, and staff regarding issues with the registration processes or general office functions and diligently work to resolve any and all problems by following the established procedures and protocols of the division.
  • Ensure effective communication with all University and outside partners, including but not limited to campus liaisons, third party providers, and on-campus departments.
  • Provide problem-solving and guidance to maintain the success of programs and processes. Continuously work with all partners to identify possible process improvements.
  • Supervise work study and hourly students.
  • Additional duties as assigned.
Innovation and Strategic Planning
  • This position will work closely with leadership to present innovative practices and procedures to improve work functions and achieve division mission for growth and sustainability.
  • Provides input and initiative for the updating of all policies, processes, and procedures to improve efficiency and support growth for the Division by problem-solving and working with other campus and system partners.
  • Supports other division administrators and cross-trains in other classified roles commensurate with class title assignment as assigned by supervisor.
  • This position will support the Division of Extended adult learning programs with communication strategy support, data maintenance, program process improvement, and verifying data accuracy and completeness in accordance with division policy and mission. The position will work with the rest of the Division of Enrollment Management and Extended Studies and other university divisions for strategic planning and process improvement.
  • This position will use forward thinking skills to provide leadership with insight for overcoming potential challenges or opportunities. This position will utilize active listening and thinking skills to assist in problem solving through creativity, professionalism, courtesy, and patience.
  • Additional duties as assigned.
Data Management
  • This position will support data management processes and procedures in the Division, while managing and adjusting information according to University reporting standards.
  • This position will provide institutional research and compliance support.
  • Maintains files, gathers and verifies information and documents information for reports. Inputs data for reports and defined documents and formats as needed by supervisor.
  • The position supports other divisions including Admissions, the Registrar, and Financial Aid for data needs and support.
  • Additional duties as assigned.
Fiscal Responsibility
  • This position will support the Division of Extended Studies leadership and team with Kuali and other Business Financial Services support for PCard purchases, travel support, and requisition/purchase order support.
  • The position serves as back-up for other deposit and fiscal operations in the Division of Extended Studies as necessary.
  • Additional duties as assigned.

Minimum Qualifications
  • Three years of experience in an occupational field related to the work assigned to the position.
Substitutions
  • Appropriate education will substitute for the required experience on a year-for-year
    basis.
Preferred Qualifications
  • Experience with Kuali system
  • Experience applying State Fiscal Rules and Purchasing Guidelines
  • Experience following State Travel Guidelines
  • Familiarity with FERPA
  • Excellent written communication skills
  • Data management experience
