ADMINISTRATIVE ASSISTANT – DISTRIBUTION SCHEDULING – Moreno Cardenas Inc (MCi) Consulting Engineers – El Paso is currently recruiting a full-time Administrative Assistant-Distribution Scheduling for El Paso Electric. Under the general direction of the Manager-Distribution Scheduling in the Performance Improvement Organization, the Administrative Assistant is responsible for assisting the Scheduling Team in the planning, scheduling, and construction of new services, service betterments, capital projects and maintenance. Duties consist of assisting with the applications and tracking of permits as needed for the Scheduling team. This includes, but is not limited to, required city and construction permits to allow for governmental compliance with the construction of EPEs facilities. The Administrative Assistant will also assist with the day of Scheduling utilizing the CGI tool Workforce to allow EPE construction crews to have the appropriate days’ work in relation to material and resource availability as directed by the team. This position may also require the creation and/or completion of Emergency, Non-Design and Simple Work Orders for maintenance work to be performed on the Distribution System. The Administrative Assistant may also be responsible for contractor invoicing, coordination of Special Services performed by the crews, and tree-trimming database entry. The Administrative Assistant will help to ensure that the business processes in the DDCM Organization are efficient and effective and aid in delivering safe, clean, affordable, and reliable energy to EPE customers. **Salary is commensurate with experience.**
What You Bring:
- Understanding of the Scheduling and Construction departments at a utility, including but not limited to process and department responsibilities.
- Proficient in Microsoft Office suite with special consideration towards Excel and Visio.
- Understating of Work Management applications, Scheduling tools (i.e. CGI Workforce), Mapping applications (i.e. GIS), and reporting software (i.e. BI-COGNOS, PowerBI).
- Competent in the use of computers and computer applications.
- Effective verbal and written communication skills.
- Ability to maintain effective working relationships with officers, managers, fellow employees, and the general public.
- Ability to maintain a strong sense of propriety concerning confidential matters.
What You’ll Do:
- Responsible for applying and tracking of permits to allow for compliant construction of EPE facilities.
- Assist with day-of scheduling for EPE and Contractor construction crews within the CGI Workforce tool.
- Creates work orders for the following Maintenance Programs: Osmose, Transformer Overloading, Cable Replacement, Infrared Scans, and the Maintenance Blitz.
- Review contractor invoices, coding of account information and final processing for approval.
- Coordination of Special Services – communication between the Scheduler and the customer, breakdown of charges, preparation of invoices and collection of payment from customers.
- Data entry and invoicing for tree trimming.
- Demonstrates communications skills that include listening and discerning audience understanding and engagement with content being presented.
- Exhibits strong teamwork with staff and demonstrates an open, collaborative disposition in daily interactions both inside and outside the organization.
- Valid driver’s license and be in compliance with the Company’s Driving Program policy.
- Complies with all applicable Company policies, procedures, and code of ethics as well as all applicable governmental laws and regulations to include employment, safety and environmental standards and regulations.
- Performs other related tasks that are not included but are within the context of the duties defined.
- Support MCi’s design and construction administration teams.
Work Environment:
- This position will not be substantially exposed to adverse environmental conditions. The position will work in a typical office environment and occasional visits to the field.
- Will work non-standard hours as required.
- Will require travel to Company work sites.
