Assists Division Management with gathering division information for the preparation , maintenance and dissemination of appropriate local, state and federal reports and presentations; maintains data pertinent to enrolled individuals including but not limited to the Driving Program, OOD Authorizations, packets for new coaching assignments, staff training and CESP certifications, and the distribution and tracking of transition plans and OOD authorizations; assists with maintaining electronic files, scanning and distributing Employment and Transition Coordinator assessments and documentation.
Performs general office and clerical duties (e.g. typing, correspondence, filing copy work, mass mailings for division and agency events, maintains building supplies, ordering/purchasing supplies, answers telephone, forwards messages, etc.); completes division purchase orders, as well as assists with division accounts payable/receivable; assists with scheduling and tracking new employee orientation, primary contact for janitorial service workers, mentor for building receptionist(s).
Maintains division inventory records. Maintains building vehicle inventory, usage requests, service needs and corresponding documentation. Responsible for building safety drills, safety related and other work orders, building and vehicle safety kits and required safety documentation. Primary contact for assistance with auditorium usage for meetings and training events, specifically related to, but not limited to, division and outside visitor technology needs.
Provides primary contact with the general public, office visitors, and administration officials according to the office procedure. Works cooperatively with other building Administrative Assistants to ensure the building is opened, closed and appropriately secured on a daily basis.
Performs other related duties as required or assigned.
