Administrative Assistant
POSITION SUMMARY
This position is responsible for assisting the management team with various administrative duties including data entry and management of internal systems to include construction and financial systems. This position will require frequent coordination of duties between multiple departments both within the office setting and those in the field.
Job Responsibilities
- Manage professional and personal scheduling for executive, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
- Ensure accurate documentation has been submitted within internal systems such as receipts, job statuses and photos. Follow up with the team members as necessary to obtain missing documents and manage the system accordingly.
- Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information within the office.
- Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database
- Maintain professionalism and strict confidentiality with all materials, serve as an ambassador for the company.
- Other tasks as assigned
Mandatory Qualifications
- High School Diploma or GED
- Superb written and verbal communication skills
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
- Independent thinker who has the ability to solve and triage infrequent tasks
Preferred Qualifications:
- Experience administering budgets and expenses
- Experience developing internal processes and filing systems
- Prior experience in roofing or other related trades
