Job description

Position Description
The goal of the Administrative Assistant is to perform a variety of administrative and clerical tasks, including providing support to leadership and employees, assisting in daily organizational needs.

You'll do this by:
  • Providing administrative support to management team, designated department(s), and/or functional area(s) duties include but are not limited to preparing, drafting, composing or editing incoming/outgoing correspondence, reports and other documents as requested.
  • Creating travel schedules, including travel reservations and/or accommodations; assists with travel arrangements and accommodations for guests; coordinates conference room schedules; monitors important phone messages for manager in their absence.
  • Maintaining reports, documents, spreadsheets and/or PowerPoint presentations; assists in the preparation and control of records, statistics, and reports regarding operations, and personnel changes.
  • Administering programs, projects, and/or processes specific to the department(s) served; organizes and manages multiple projects simultaneously.
  • Coordinating phone inquiries and messages for designated department(s), functional area(s) and/or manager(s).
  • Establish, maintain, manage and monitor hard copy and/or electronic files (e.g. reports, forms, complaints, quarterly updates, etc.).
  • Responding to internal customer questions and requests; may serve as administrative liaison regarding administrative issues related to purchasing, personnel, events, facilities and operations.
  • Assisting in budget preparation and control activities.
  • Perform other duties as assigned.

Required Qualifications

  • Ability to multitask and prioritize tasks.
  • Performs independent work with limited supervision.
  • Manages multiple priorities in a fast-paced, work environment, demonstrates strong attention to detail.
  • Demonstrated written and verbal communication skills communicating with employees at all levels, in addition to internal and external customers and vendors.
  • Problem solving skills, demonstrated organizational, and time management skills.
  • Proficient computer skills with Microsoft Office (e.g. Word, Excel, Powerpoint), Google, SAP, and other software programs associated with assigned work.

Education
High School diploma
General Education Degree
Experience Requirements
  • Minimum of three years of experience in an administrative support role
