Job Description
Responsible for assisting the customer service department and ensuring the company delivers the highest level of customer service possible. Responsible for supporting high-level management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.
Primary Responsibilities
- Investigate customer's problems and find solutions.
- Communicate with customers via phone, email, or letter
- Resolve complaints and order issues.
- Ask customers to provide feedback on agents and customer service experience.
- Keep abreast of new company products and services.
- Oversee product exchanges and returns
- Compile and print reports on overall customer satisfaction.
- Work with management on customer service initiatives.
- Utilize social media to respond to customer complaints and praise.
- Provide administrative and clerical support to departments or individuals.
- Schedule meetings and arrange conference rooms.
- Detailed documentation is required.
- Bring a task to completion.
- Alert the manager about cancelations or new meetings.
- Handle information requests.
- Prepare correspondence and stuff mail into envelopes.
- Arrange for outgoing mail and packages to be picked up.
- Prepare statistical reports.
- Manage spreadsheets.
- Greet and receive visitors.
- Prepare confidential and sensitive documents.
- Coordinates office management activities.
- Determine matters of top priority and handle them accordingly.
- Takes and transcribes dictation.
- Maintain office procedures.
- Coordinate travel arrangements; prepare itineraries; prepare, compile, and maintain travel vouchers and records.
- Operate office equipment, such as photocopy machine and scanner.
- Relay directives, instructions, and assignments to executives.
- Receive and relay telephone messages.
- Direct the general public to the appropriate staff member.
- Maintain hard copy and electronic filing system.
- Sign for UPS/Fed Ex/Airborne packages.
Qualifications
- Must have a Valid Drivers License
- Must be able to pass a Background check
- High school diploma or GED certificate
- 1+ years of experience as an Administrative Assistant is preferred
- Fast, proficient, and accurate typist
- Proficient with Microsoft Suite and common office equipment
- Excellent customer service and communication skills
- Self-starter who works well independently
- Professional demeanor
