We are seeking a highly organized and proactive Administrative Assistant to support our team in handling a heavy client caseload. The successful candidate will be responsible for sending out documents, monitoring signatures, assisting families with technical issues, and maintaining efficient communication channels. This role requires strong attention to detail, excellent communication skills, and the ability to multitask effectively in a fast-paced environment. Directly Reporting to Administrative Supervisor and collaborative working with other team members.
Responsibilities:
The roles and responsibilities of an Administrative Assistant include:
- Ensuring accuracy and timeliness in maintaining data entry requirements by adhering to data program techniques and procedures.
- Sending and uploading documents to client accounts with precision and within specified timelines, ensuring
- completeness.
- Conducting follow-up calls to client families to ensure timely completion of documents.
- Assisting families in troubleshooting any technical issues encountered during the document submission
- process.
- Managing and organizing the email inbox, promptly responding to inquiries and directing messages to the
- appropriate team members.
- Collaborating with team members to ensure seamless workflow and efficiency.
- Performing additional administrative tasks and duties as assigned.
Requirements:
- High school diploma or equivalent; some college education is preferred.
- Minimum of 1 year of experience in a customer service or administrative support role.
- Proficiency in Microsoft Office, including Excel and Word.
- Strong attention to detail and ability to effectively multitask.
- Excellent written and verbal communication skills.
- Ability to work collaboratively in a team environment.
- Quick learner with the ability to adapt to new software and processes efficiently.
- Demonstrates professionalism and exhibits excellent interpersonal skills.
