Administrative Assistant/Receptionist
Zero Parallel is seeking an Administrative Assistant who will be the supportive force behind both people and processes. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention for detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers. Have the ability to multitask, manage schedules, and meet changing deadlines.
RESPONSIBILITIES
● Seated at the reception desk, in friendly and courteous manner, greets and receives visitors to the Business Office, issues visitor IDs, signs in visitors, and directs them to the appropriate persons.
● The receptionist greets the public who enter the Business Office and receives and routes telephone calls from customers and the public. The receptionist takes messages when individuals are not available, receives deliveries by courier or messenger, and receives and sends faxes.
● Answers all telephone calls before the third ring and routes calls to appropriate individuals.
● Takes accurate written messages, recording name, time of call, nature of business, and a person called on when a party is not available or does not answer.
● Puts messages in message slots for department members.
● Calls employees promptly with urgent messages.
● Receives and signs for deliveries by courier or messenger and notifies addressees of their receipt. Receives and sends faxes for the Business Office; puts faxes in message slots and calls recipients to notify them of their receipt.
● Maintains visitors’ logs.
● Ensures optimal use of office equipment, supplies, and inventories through preventive maintenance.
● Coordinate internal and external resources to maintain an efficient workflow.
● Types of occasional correspondence as directed by the Manager of the department, including letters, memorandums, forms, and reports.
● Maintains supply of Business Office forms.
● Occasionally handle tasks for the President of the company.
MINIMUM QUALIFICATIONS
● Technical training or skills: Minimum accurate typing speed of 30 wpm.
● Professional training or knowledge: None.
● Work experience: One-year of public contact office experience, including receptionist duties.
● License required: None.
● Dependable, prompt, and regular attendance.
● Tolerance for the stress of multiple simultaneous, possibly conflicting, demands.
● Oral communication skills to represent the Company successfully and clearly to the public.
● Administrative recall of procedures, organization, priorities, and work in progress.
● Cooperation with public and department members.
● Sensitivity to others.
● Attention to detail.
● Ability to learn.
● Planning and organization to accomplish tasks within the normal workday.
● General education or equivalent: High school diploma or equivalent.
Salary Range- $20-$25 hourly
