 Position Description:

WestEd’s Early Childhood Intervention, Mental Health and Inclusion (ECIMHI) team provides training and technical assistance in policy development, translation of research to practice, systems evaluation, and implementation of evidence-based practices in support of infants, toddlers, young children and their families.  The ECIMHI team partners with federal, state, and local education, health, developmental and behavioral/mental health agencies and programs to transform early childhood programs and systems and create deep and lasting impact for children and their families. ECIMHI projects and services utilize research-informed strategies and meaningful stakeholder engagement to build the capacity of systems and service providers within these systems to implement effective procedures, processes and practices that support successful outcomes for diverse, vulnerable and under-served populations.

As part of the California Infant and Early Childhood Mental Health Consultation (IECMHC) Network team, the Administrative Assistant will support the universal, targeted and intensive consultation services across this large-scale, statewide project.  A successful candidate has demonstrated experience in problem solving, understanding and anticipating project and staff needs, responding to requests for support in a timely fashion, and the ability to work as part of a team as well as independently.

Responsibilities:

  • Work as part of the team implementing statewide infant and early childhood mental health consultation services, supports and resources.
  • Support participant recruitment and registration activities; operate participant registration system, including tracking and monitoring of attendance and participation.
  • Support and track stakeholder engagement activities.
  • Schedule meetings, develop and disseminate meeting agendas and materials, prepare meeting summaries, document and communicate decisions and action items.
  • Develop mastery of WestEd tools such as Box, Smartsheet, Excel, and Word to apply them to project processes.
  • Communicate with colleagues, clients, and partners in a manner that is professional, responsive, and appropriate.
  • Participate in professional learning opportunities to develop knowledge, skills, and abilities.

Qualifications:

  • Bachelor’s degree or equivalent experience.
  • Excellent interpersonal and communications skills.
  • Proven ability to work in a fast-paced environment dealing successfully with short- and long-term priorities simultaneously
  • Highest-quality collaboration skills for both internal and external stakeholders, including excellent interpersonal communications, dependability, reliability, and professionalism.
  • Resourcefulness and careful attention to detail are a must, while also keeping the “big picture” and project context.
  • Advanced proficiency with Microsoft Office, including Word, Excel, and PowerPoint, including the ability to create sophisticated diagrams, charts, graphs, tables, and presentations.
  • Commitment to excellence and equity and having an impact on the lives of children.
  • Occasional travel (within California).
  • Bilingual/Spanish fluency.

 SALARY AND BENEFITS:

The full salary range for this position, WestEd level 7, is $65,600 to $98,400, but WestEd does not typically hire at or near the top of the salary range. The typical hiring range for this role is $65,600 to $82,000. The actual offer takes into account multiple factors, including but not limited to education, experience, internal equity, and other organizational needs.  

In addition to the base salary, benefits include: 

· 15% contribution toward retirement effective day 1 of employment

· All health/welfare benefits are effective the first of the month following the hire date 

· PTO: 3 weeks vacation (increases to 4 weeks beginning the 4th year of employment), paid holidays, and 12 days paid sick leave per year
