Job Title: Part-time Administrative and Financial Assistant
Reports To: Pastor
FLSA Status: Exempt
Education: High School Diploma or GED and a minimum of 2 years of college or a combination of education, training, and experience in successfully performing secretarial and bookkeeping skills is preferred. Experience working for a church or in a nonprofit setting is a plus.
Parkway Gardens United Presbyterian Church is currently seeking a part-time Administrative and Financial Assistant. Administrative duties will be to assist the pastor and the administrative chair in executing the administrative aspects of the church. In contrast, the financial responsibilities will include working with the church treasurer to process all financial matters for the church.

As Administrative Assistant
Primary Requirements
- Keep twenty office hours weekly (Tuesday-Friday, 9:00 a.m.-2:00 p.m.).
- Be aware of and personally in accord with the Mission of Parkway Gardens United Presbyterian Church.
- Work according to the policies and procedures established by the Session, Administrative/Personnel Committee, and the Church Treasurer.
- Must perform duties with an important level of honesty, integrity, and confidentiality,
- Work amicably with the pastor, staff, and church members of different personalities.
- Must be flexible and manage multiple tasks calmly.
- Demonstrates the ability to communicate effectively, written and verbal, with church leaders, members, and visitors.
- Have experience with, but not limited to, Microsoft Office Suite, Canva, Servant Keeper, and Sage Accounting 50.
- Must understand Financial terminology and spreadsheets.
- Must have the ability to perform daily tasks with limited supervision.
- Lend administrative support to the pastor as needed. While not being the administrator for church leadership (session, others), assist when asked within reason.
Membership:
- Maintain Servant Keeper (SK) membership database except for financial records.
- Generate rosters and reports, as necessary.
- Assist Member Care by maintaining the SK Care lists in collaboration with the Clerk of Session.
- Prepare new Member Packets as requested
- Maintain and distribute the church prayer list.
Communications:
- Distribute monthly newsletters in collaboration with the newsletter editor.
- Prepare information for distribution via the internet, Sunday and weekly bulletins, or other methods as requested.
- Answer phone calls, receive, sort, and distribute mail.
- Check electronic mail regularly and re-distribute correspondence as needed.
- Maintain postage supplies.
- Respond to messages promptly.
Services (Sunday Worship, Funeral/Memorial, Weddings, Holidays/Special Services):
- Bulletins: Prepare all service bulletins with the information provided by the pastor, musicians, and worship
chair.
Other:
- Work cooperatively with the administrative chair concerning all administrative matters of the church.
- Perform duties requested by the pastor and other needed or related duties/special assignments from various ministries upon approval of the pastor.
- Provide direction to office volunteers and support to other church volunteers concerning administrative duties as needed.
- Greet leaders, members, and community visitors (telephone and walk-in) professionally and courteously. Help when able or redirect as needed.
- Show and schedule building usage following established policy and obtain approval.
- Maintain the church Master Calendar with church activities and event rentals.
- Maintain required documents on contractors and groups from our community that use our facilities. The administrative assistant is not responsible for getting the records, only for filing them.
- Maintain and organize office supplies.
- Place orders for custodial and building engineer's cleaning supplies, Christian Education (CE) materials, kitchen supplies, and office supplies as needed.
- Maintain copy machine and supplies.
- Distribute Keys/key codes to session members and issue temporary keys/keycodes when needed.
As Financial Assistant
- Work cooperatively with the Church Treasurer concerning all financial matters of the church.
- Post weekly contributions to the church members' accounts. Prepare contributions statements and mail them quarterly and annually.
- Maintain accounting operations in Sage Accounting 50, including but not limited to deposits, disbursements, bank reconciliations, and payroll.
- Assist the Church Treasurer with preparing monthly, quarterly, and annual financial reports.
- Prepare the necessary reports for IRS and other governmental agencies related to payroll.
- Prepare payroll and maintain personnel records per HIPPA laws.
- When approved, verify all invoices, and inform the committee chair responsible for the budget expenditure.
- Following approved church policy, prepare and issue checks to staff, church members, committees, and organizations.
- Maintain a file of invoices, correspondence, and reports.
- Perform other tasks as assigned.
