Description

We are anything but Standard, and are seeking someone to embark on an exciting journey where your administrative skills will be the cornerstone of excellence in hospitality and will bring order to our fast-paced operations. As the Administrative Assistant, you will be the linchpin that ensures efficient communication, smooth coordination, and effective administration, contributing to the overall success of our hotel. This position calls for a patient multitasker, someone who can seamlessly navigate through the intricacies of a less structured environment while maintaining a keen eye for detail.

 

Daily Functions for General Manager

  • Sorts through incoming mail to distribute to necessary parties.
  • Maintain calendar for the General Manager to assist with scheduling meetings, interviews, and calls.
  • Assist General Manager with email management to ensure high-priority items are responded to quickly.
  • Prepare daily agenda for the General Manager including daily tasks and scheduled meetings.
  • Update large office calendar.

 

Daily Functions for Executive Office

  • Collect mail daily & distributes accordingly.
  • Responsible for maintaining office supplies for the executive office.
  • Responsible for ensuring the copier has paper, toner, and call for service if necessary.
  • Update hotel phone directory

 

Daily Functions for Human Resources

  • Prepare monthly birthday cards, circulate for signature, and mail out to employees.
  • Prepare orientation folders, and keep copies of HR documents available.
  • Prepare and distribute HR letters (such as employee referrals, increases, W2’s etc)
  • Assist with various research projects.
  • Call applicants to schedule interviews.
  • Assist the HR team with engagement events.
  • Clerical duties such as scanning of employee documents.
  • Maintain bulletin boards and Employee TV updated with the latest postings
  • Maintain employee confidence and protect operations by keeping human resources and operational information confidential.
  • Attends Managers Council, take notes & distribute to all managers.
  • Work with the culinary team on the menu of the week and distribute it weekly to all employees.

Required skills and Qualifications:

  • College degree preferred
  • At least 1 year experience in an administrative role
  • Hotel experience preferred

 

Physical Requirements:

  • Able to sit for extended periods of time
  • Periodical bending and kneeling
  • Occasionally required to push, pull, move, carry and lift at least 10 lbs of force
  • Must be able to seize, grasp, turn, write, type and hold objects with hands
