ACCOUNTS RECEIVABLE/BILLING SPECIALIST

Location: Atlanta, GA

POSITION OVERVIEW

We are currently seeking an experienced Accounts Receivable/Billing Specialist to join the fast-growing C2H Air & Electric Team. The ideal candidate will have a can-do attitude and strong problem-solving skills, as well as a high level of customer service.

JOB RESPONSIBILITES

  • Invoice all service orders submitted to billing by dispatch
  • Process all New Customer Request Forms timely, verifying proper signature/authorizations received with completed W-9, entering, and documenting in system and maintaining paper records
  • Invoicing for major projects and maintenance invoices
  • Enter invoices on customer third party platforms and monitor for corrections and updates
  • Make collection calls by examining invoices that are late for payments
  • Contact customers to make payment arrangements
  • Generate, maintain and process Preventative Maintenance Agreements
  • Generate monthly statements and past due emails
  • Maintain and reconcile the Accounts Receivables
  • Manage departmental Sales Logs with data submitted by the account managers
  • Reconcile the Sales Logs each month for projects that have been paid in full throughout the month
  • Complete incoming check deposits into Bank of America’s CashPro
  • Support AIA billing for the Construction Department by printing, gathering signatures, notarizing, and submitting monthly construction pay applications by the twentieth of every month
  • Back-up Accounts Payable as needed

QUALIFICATIONS

  • Associate degree or 3 years' experience in accounting
  • 3-5+ years of experience in Accounts Receivable/Billing Specialist
  • Mechanical billing experience preferred
  • AIA billing experience preferred
  • Excellent computer skills, Excel experience required, Adobe experience preferred
  • Must be detail oriented
  • Excellent verbal communication skills
  • Ability to multi-task and make sure work is completed properly and efficiently
  • Excellent organization and problem-solving skills
  • Ability to meet deadlines and work in fast paced office setting
  • Takes gentle care of all company owned equipment and assets
  • Ability to work overtime as necessary

ORGANIZATIONAL ALIGNMENT

This position reports to the local Accounting Manager, and has a responsibility to all of our customers in AR.

Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.

Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Mental stamina for problem solving and prioritizing multiple tasks.

Environmental Requirements Has ability to work remote when not required in office for project-specific requirements.

Physical Demands While performing the duties of this job, the employee is regularly required to use hands to operate computer keyboard reach with hands and arms. The employee frequently is required to stand, walk, and sit. The employee is continually required to climb or balance and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
